A fantastic opportunity has arisen for 2 experienced administrators to join our friendly and dynamic therapy service in Maidstone, Kent.

The Brenchley Unit provides long term psychotherapy for adults with a history of trauma.

These roles are critical to the smooth running and effectiveness of the service and as such our administrators are highly valued members of our team.

You will provide secretarial and administrative support to the multi-disciplinary team including Consultant Psychotherapist, Service manager, psychotherapists and an occupational therapist.

In this varied role you will have direct patient contact and need to have excellent customer service skills.

You will be highly organised, able to work accurately and systematically, and prioritise your own workload in response to service needs.

We are looking for staff with a 'can do attitude', who enjoy taking their own initiative, problem solving and meeting challenges, but who always bear in mind that everything we do is to provide the best service we can for our patients.

We are seeking someone with compassion and understanding for people with long term mental health conditions, who can maintain professional boundaries with patients.

Your hours of work will be either 8:45am - 4.45pm or 9am - 5pm, Monday - Friday.

You will be proficient at audio and copy typing, and have advanced skills in the use of Microsoft Office.

You will utilise these skills in managing diaries, booking appointments, maintaining accurate clinical records, updating patient databases, taking formal meeting minutes and storing information for swift retrieval when needed.

An excellent telephone manner with experience of dealing with distressed or unhappy customers is essential as you will be the front door of the service.

When you liaise directly with other teams and departments within the Trust and external agencies you will demonstrate a professional, helpful and respectful approach.

You will be responsible for ordering supplies, receipting deliveries and resolving any invoicing discrepancies using the NHS procurement system.

You will also be responsible for holding a petty cash float, paying patient expenses from this and be accountable for accurate records and balancing the float.

  • Answering the telephone, taking messages, resolving queries.
  • Opening patient records on the patient records systems and maintaining up to date records
  • Maintaining Excel data bases
  • Holding a petty cash float and reimbursing patient expenses
  • Audio and copy typing of letters and reports
  • Management of internal and external post
  • Ordering supplies, receipting deliveries and resolving invoicing queries using the NHS procurement system
  • Booking patient appointments
  • Dealing with patient telephone queries to try and achieve a swift resolution
  • Manage personal and sensitive personal information in line with Data Protection laws and Trust Policies
  • Prepare meeting agendas, take formal minutes and type and distribute these
  • Maintain caring and professional relationships with patients
  • Distributing clinical outcome measures and patient satisfaction questionnair
The Brenchley Unit unit is a 'democratic therapeutic community'. All team members play an important role in promoting this sense of community. We value open and transparent communication and this is not just with our patients, but between colleagues also. We hold a weekly staff support group, which you will be invited to. This is a very supportive team with a low turnover of staff. The small admin team has 2 administrators who share an office and an Admin Manager.


Once fully inducted and familiar with the role, there is the possibility for hybrid working, combining working at the unit with working from home.


There is free car parking on site, the unit is close to the M20 and walking distance from Barming rail station.
