Description

The key responsibility for this role the ordering of all equipment the therapies teams require, including uniforms, patient equipment and stationary using the hospital systems.

This includes managing the availability of the equipment store kept in the hospital to facilitate patient discharge.

The post is also responsible for maintaining the availability of PPE for Therapy and has oversight of the walking aids reuse scheme.


This position offers an interesting and varied role, actively involved in the day to day running of the rehabilitation department, and does involve an element of manual labour in respect of putting equipment and deliveries away when they arrive.


The post holder will be:


  • Responsible for the ordering of equipment supplies, stationary, staff uniforms and equipment for patient discharges.
  • Responsible for processing patient information leaflets and maintaining stock levels.
  • Communicating issues with the local PCN's regarding funding/ordering equipment.
  • Responsible foe providing the lead on ordering equipment not within a usual remit of the NHS suppliers.
  • Responsible for maintaining accurate records and providing reports for senior management, Finance department and Purchasing team.
  • Able to organise and prioritise a wide range of tasks, meeting deadlines and working unsupervised using own initiative and problem solving skills.

MAIN DUTIES

  • To provide administrative support for the Therapies team.
  • To be responsible for ordering all supplies and equipment using eProcurement and other systems.
  • To order leaflets, forms and paperwork from Office depot and maintain records.
  • To provide financial reports for senior managers and the finance team on budgets, spend and related matters.
  • To liaise with external agencies and companies as and when required including CCG's.
  • To maintain levels of basic stock equipment to facilitate patient discharges.
  • Maintain stock of stationary, supplies and staff uniforms for the Therapies directorate.
  • To be a point of contact for all matters related to Facilities and MEMs.
  • To direct departmental porter and ensure daily duties are carried out.
  • To maintain stock levels of all stationary, equipment and uniforms for the Rehab and Rheumatology teams using Eros, liaising with purchasing, goods receiving, satellite clinics and external companies.
  • To research equipment and products online to provide up to date pricing, product knowledge and support for the MSK directorate.
  • To support senior staff in the provision of equipment not available on EROS.
  • To assist in developing, monitoring and ordering of all patient information leaflets, patient forms and related paperwork via Office Depot and the Trust governance team.
  • To produce regular reports for senior management covering finance, purchasing and budgets. Maintain records, databases and files related to departmental and directorate requisitions.
  • To support the rehabilitation administrative staff in processing basic stock equipment forms, ensure stock levels are maintained and liaise with ward staff to facilitate patient discharges.
  • To liaise with the departmental porter and the goods receiving team to ensure equipment is delivered, distributed and stock levels are monitored.
  • To be a point of contact for the Therapies department for reporting issues to Facilities and MEMs to ensure the environment and equipment are maintained, repaired and/or replaced.
  • Assist in the induction of new staff by advising on uniforms, name badges and relevant equipment/paperwork ordering processes.
  • To carry out any other duties appropriate to the grade which may be necessary from time to time to support Therapies across all teams.
  • To participate in annual performance review process where the job description will be reviewed, objectives agreed, performance monitored and personal development needs discussed.
