Position Summary

The Office and Events coordinator will provide first class front of house support to all Edrington employees and visitors arriving into Edrington either in person through reception or over the telephone.

You will be an Edrington ambassador by delivering an exceptional hospitality service to all visitors, guests and colleagues.

The role holder will predominantly be based at our bottling facility at 2500 Great Western Road, but will be required to cover our Head Office at 100 Queen Street and our UK office at 191 West George Street on occasion, for training and for holiday cover etc.

During these periods the role will also support the Office and Events Manager with administration activities connected to the maintenance and management of Edrington Queen street and by supporting organisation, logistics and delivery of Edrington meetings and events.

Job Description

  • Act as and Edrington brand ambassadors for visitors, meet and greet everyone arriving, giving special attention to both internal and external visitors, as well as operate switchboard to answer all incoming telephone calls in a prompt and professional manner.
  • Work in close Collaboration with the Office and Events Manager, supporting with the organisation & logistics of Edrington events such as Edrington Connections.
  • Deputise for the Office & Events Manager at office management meetings as required
  • Proactively manage the quality of the working environment, to ensure damage and hazards are reported and resolved throughout the reception and office spaces the office to ensure high level of response and high standards maintained.
  • Manage all mailroom duties, including the opening and distribution of incoming mail, franking outgoing mail and processing DHL parcels.
  • Take the lead on the operational setup and derig of meeting spaces, with support
  • Attend office management meetings with the Office and Events Manager providing administration support and third party follow up where required.
  • Manage the stationary budget and oversee the ordering and receipt of all stationery orders, ensuring the most cost efficient and sustainable options are being optimised. Maintain a minimum level of specific stationery items and monitor their distribution.
  • Work in close collaboration with the HR team, with responsibility for the order and delivery of corporate gifts associated with Long Service and Retirements. This will require first class interpersonal skills interacting with employees in these categories and managing expectations.
Skills and Experience

With great interpersonal skills and the ability and confidence to communicate with all levels of the business, you will have previous experience of providing successful Front of House / reception services in a customer focussed environment commensurate to this level of role.

You will have a proven track record of providing exceptional customer service whilst managing a variety of different tasks and stakeholders and maintaining a flexible approach.

It is desired that you have a keen interest in hospitality and ultra premium / luxury, with the ability to work on own initiative or as part of a team and take ownership of short
- and longer-term tasks where required. Overall role holder will be highly flexible given the variety of tasks that will need to be undertaken, will have a strong work ethic, excellent customer service skills and present a helpful, articulate and polished demeanour.
