Part-time Administrator/Finance Assistant
Whitfield Aspen School is seeking a Part-time Administrator/Finance Assistant to join our friendly, energetic and dynamic team.

The office is a vibrant, fast-paced environment that is focused on delivering an outstanding service and building great relationships with staff and parents.

We are a large primary school over two sites on an expansion programme.


Vacancy: 22.5 hours per week (Tuesday - Thursday), Permanent Contract Term Time Only, 38 weeks plus KCC holiday entitlement.


Salary:
Kent Range 3 pro-rata (equivalent to £21,293 for full time): £11.04 per hour


Your main duty will be to provide administrative and financial support to the administration team in addition to welcoming and communicating with visitors, parents, carers, staff and children.

Support and training will be provided. This role is varied and therefore all-round administration and financial skills are essential.


Qualifications & Key Skills

  • Qualifications to include English and Maths GCSE A-C grade or equivalent _(evidence of qualifications will be required to be provided prior to interview & on the interview day)_
  • Experience in office and financial administration preferred
  • Good interpersonal skills, including oral and written skills
  • Flexibility
  • Organised and an eye for detail
  • Ability to prioritise tasks
  • A willingness to take the initiative and work without close supervision
A skills assessment will be carried out during the interview process.

OVERALL PURPOSE OF THE JOB

GENERAL RESPONSIBILITIES


To provide a diverse range of administrative as directed by the Head teacher, Heads of School, School Business Manager to support the school.


KEY DUTIES AND RESPONSIBILITIES - ADMINISTRATION

  • Undertake reception duties as and when required, communicate with visitors, parents, carers, staff and children. Investigating queries, assessing the nature of telephone calls, referring them to the appropriate person without referral to the line manager where possible, and receiving visitors in a courteous, prompt and efficient manner, to ensure that staff, service users and members of the public who contact the school are dealt with efficiently and consistently.
  • Accept and sort incoming mail to the school and keep orderly storage for incoming post and deliveries as well as assisting with the checking of incoming stock and arrange for distribution and storage.
  • Provide administrative support to the office as directed, composing and distributing correspondence to parents, ensuring well-presented and accurate documentation is produced.
  • In the absence of colleagues, deal with any emergency issues to ensure the efficient running of the school office is maintained.
  • Maintain up-to-date school diary records on a daily basis.
  • Maintain up-to-date school late registers on a daily basis.
  • First Aid assistance for pupils and staff where required.
  • Assist in maintaining the lost property across the school.
  • Assist with procedures for emergency evacuation of staff and pupils in the event of a fire or termly fire drills.
  • Update manual and computerised records/management information systems.
  • Comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person
