Description

We are looking for Excutive Assistant to the CEO that will provides an efficient and professional personal assistant service to the Group Chief Executive, also working collaboratively with the Directors' PAs, other Directors of the Combined Authority and across the Group.

To be resourceful, pre-emptive and sensitive to the demands of the role, and act as a gateway to the CEO and managing the expectations and time needs that are placed upon that diary.

To be reactive and as far as possible, pre-empt the issues that may arise, and put in place the solutions that aim to achieve an effective service.


Duties & Responsibilities:


  • Supporting the CEO in proactive support on a consistent basis - giving them capacity to drive continuous efficient delivery of the business, maintaining full confidentiality in all interactions. 2.

Act as the first point of contact:

dealing with incoming correspondence for the CEO and establishing a priority for their attention in an efficient and timely manner.

This will involve setting the expectations of individuals who request time with the CEO, and acknowledging correspondence on the CEO's behalf in the first instance.


  • Manage complex and often conflicting diary constraints, including meetings, travel and events. Communicate with all stakeholders where necessary to ensure smooth running appointments and engagements. Proactively and independently make judgements that best facilitate time and external factors such as travel time, preparation time and breaks between appointments.
  • Produce/prepare documentation for the CEO, including confidential material. Research and support to provide daily briefings/agendas/background material to CEO to ensure they are prepped as needed, undertaking research where needed. Manage databases and filing systems for documentation.
  • Organising offsite Executive meetings to include venue sourcing, travel and accommodation arrangements, support personnel and assistance etc.
  • Line managing and working closely with other TVCA Team PAs, ensuring close alignment and collaboration with the requirements of TVCA Directors.
  • Work closely with PAs from across the wider Group to ensure close alignment and collaboration whilst balancing the demand this places on the diary of the Group CEO.
  • Undertake any other duties that may be deemed reasonable and necessary to meet the duties and responsibilities of the post and undertake any training that is identified as being required to achieve this.
  • To take reasonable care of your own Health and Safety and co-operate with management, so far as is necessary, to enable compliance with the health and safety rules and legislative requirements.
  • Work flexibly and undertake such other duties and responsibilities commensurate with the grading and nature of the post.
  • Ensure compliance with Corporate Governance procedures, procurement regulations and the Data Protection Act and behave according to the Employees' Code of Conduct.
Full Time (37 hour per week), based at Teesside Airport offices. Start date flexible.
