The post holder will provide administrative support services to the Trust Secretary and Assistant Trust Secretary.The post demands excellent time management, organisational and communication skills (with both internal and external organisations) and an adaptable, flexible approach to produce work within required timescales.
The post-holder will report to, and provide a high quality, responsive and flexible administrative support service, to the Trust Secretary, whose role is to ensure that the Trust has effective corporate governance arrangements in place (which includes ensuring that the Trust Board and its sub-committees are effectively supported and administered).
Secretarial support (not exhaustive)- To manage the Trust Secretary's diary and "Corporate Meetings" Outlook calendar.
- To maintain policies and procedures to ensure effective and efficient workflows into and through the Secretariat.
- To help maintain the forward programmes of agenda items for the forums coordinated by the Trust Secretary's Office
- To take the minutes of the meetings of certain meetings, as required.
- To schedule meeting dates/times as appropriate, and book venues and catering.
- To manage administrative systems to ensure that they are effective.
- To maintain all shared network drives.
- To receive and provide information of a complex and sensitive nature
- To draft and type, correspondence, agendas, minutes and reports.
- To maintain the Trust's Registers of Sealings and draft reports relating to the use of the Trust Seal.
- To maintain the Trust's register of declared interests (in accordance with the Conflicts of interest policy and procedure) and draft reports relating to the register.
- To support the Assistant Trust Secretary in organising the Trust's Annual General Meeting (AGM).
The Trust provides a full range of general hospital services and some areas of specialist complex care to around 500,000 people living in the south part of West Kent and the north part of East Sussex.
We work from two main clinical sites:
Maidstone Hospital and Tunbridge Wells Hospital at Pembury.
Tunbridge Wells Hospital opened in 2011 and provides single rooms with en-suites for all in-patients - the first of its kind in the country.
