    Job overview

    You will be a motivated and positive person who will manage our integrated administrative team, ensuring that a comprehensive, high quality secretarial and administrative support is provided to Camden MOSAIC Children's Services based at Kentish Town Health Centre, and Health Support Services for Vulnerable Children, based at Crowndale Health Centre. You will support the team and ensure there is cover across the team and to all the relevant services.

    You will be responsible for ensuring the availability of services and facilities, essential to the smooth running of the Service. This may include services in relation to:

  • MOSAIC Services: Child Development Team (CDT), Social and Communication Assessment Service (SCAS), Single Point of Referral (SPOR), our parent / carer training programmes, the Feeding Clinic, Down Syndrome Pathway and the Sleep Service
  • Health Support Services for Vulnerable Children Child Protection and LAC
  • You will need to have the ability to work independently as well as within the team. You will be able to use your initiative and make decisions in the Service Manager's absence.

    Main duties of the job

  • To manage the administrative staff across MOSAIC / Health Support Services for Vulnerable Children. To manage the workload for the team and ensure that core tasks including reception are covered at all times
  • To manage leave applications, sickness, performance and disciplinary issues for the team
  • To ensure annual appraisals are carried out and identify and support the training needs of staff
  • To support staff with regular line management / supervision
  • To oversee the annual leave rota
  • To undertake the recruitment of administrative and reception staff
  • To oversee the distribution and monitoring of tasks across the services, ensure the completion of tasks to deadlines, and to support staff at busy times
  • To maintain directories and contact lists
  • To be a support to professionals, patients and carers
  • To oversee the creation and maintenance of Standard Operating Procedures
  • To promptly investigate complaints relating to CNWL administrative support services and to assist the Service Manager
  • To standardise systems across areas
  • To ensure systems are in place where required.
  • To provide high quality minutes
  • To provide statistics and reports
  • To be responsible for maintaining and supplies
  • To oversee archiving
  • To undertake duties normally carried out by other administrative staff as necessary

    Detailed job description and main responsibilities

  • To manage the administrative staff across MOSAIC and Health Support Services for Vulnerable Children. To manage the overall workload for the team and ensure that core tasks including reception are covered at all times.
  • To manage leave applications, sickness, performance and disciplinary issues relating to CNWL administrative staff and timesheets for bank / agency staff.
  • To carry out annual appraisals and have overall responsibility for ensuring appraisals are carried out for directly managed CNWL staff, in accordance with Trust guidelines. To identify and support the training needs of administrative staff, including supporting temporary staff.
  • To maintain a link between the non-CNWL administrative staff, their line manager and their base organisation.
  • To support staff with regular line management and supervision in a 1:1 and group situation as appropriate.
  • To oversee and be the main contact for the annual leave rota ensuring that adequate cover is in place for all planned and unplanned leave to enable services to be maintained. To be responsible for the effective monitoring of sickness and absence levels.
  • To undertake the recruitment and selection of administrative and reception staff in conjunction with the Service Manager.
  • To oversee the distribution and monitoring of tasks across the services, ensure the completion of tasks to deadlines, and to support staff at busy times.
  • To maintain directories and contact lists (coordination and collation of additions and deletions) including for Business Continuity Plans and call cascades relevant to the services.
  • To be a support to professionals, patients and carers, both for incoming and outgoing telephone calls and emails, in conjunction with the administrative staff, and visitors to the team, including explaining the role and function of the team to outside enquirers.
  • To oversee the creation and maintenance of Standard Operating Procedures across the services.
  • To maintain and keep an overview of the organisation of shared drives for the services.
  • To promptly investigate complaints relating to CNWL administrative support services and to assist the Service Manager where necessary.
  • In conjunction with the Service Manager to review policies and procedures covering administrative and clerical functions in order to standardise systems across areas.
  • To ensure systems are in place where required for booking equipment in and out, including dictation devices and AV equipment.
  • To provide high quality minutes for team meetings as and when required across the services.
  • To oversee SARS (Subject Access Requests) including completing the spreadsheet as requested and informing the Finance Team in order to create an invoice.
  • To provide statistics and reports as required by the senior management team.
  • To be responsible for maintaining an appropriate level of equipment and supplies within the office.
  • To oversee the archiving of files.
  • To ensure systems are in place for the collection and reporting of Friends and Family test responses, and to collate these for the Service Managers.
  • To undertake duties normally carried out by other administrative staff as necessary, to ensure a constant provision of service during staff absence.
  • To ensure a safe environment is maintained for all staff and visitors to Crowndale Health Centre, Kentish Town Health Centre and staff working off site in line with Trust Health and Safety, Risk Management, Fire Prevention, Security and Equality Act policies.
  • To link with the manager representative at Kentish Town Health Centre Tenants' meetings and liaise with the site manager.
  • To work with the Service Manager to ensure non-clinical risk management standards, policies and protocols are established and maintained on the site, sharing the responsibilities with the relevant professional managers e.g. lone working policy, maintaining confidentiality.
  • To pro-actively lead on service development in line with role, initiating service improvements and implementing new procedures where identified.
  • To undertake any task as required by Service Manager that are commensurate with role.

    You must have appropriate UK professional registration.

    The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
