    Team Assistant

    Location: Birmingham

    What is the purpose of the role?

    The role is a hybrid role, combining both Reception and Administration duties - as such, the role would entail interacting with all our colleagues and their clients, as well as any external parties. The successful candidate will be part of the Investment Management team and will directly support the Administration Support team and the Investment Managers. This is an office based role, with the successful candidate required to be in the office 5 days per week (Monday to Friday).

    What are the key responsibilities?

    Key responsibilities of the role include but are not limited to:


    • Operation of Telephone Switchboard, help with queries, take messages and transfer calls as necessary


    • Welcoming clients/visitors


    • Maintain diary for all meeting rooms


    • Assist with ordering and serving catering/refreshments


    • Handle incoming/outgoing post including scanning and printing as required


    • Arrange couriers and taxis as required


    • Organise video conferences between offices and external contacts


    • Ordering and sorting hard copy client documents/literature


    • Prepare responses to incoming correspondence and emails as requested


    • Keep abreast of operational and administrative procedures


    • Provide administrative support to Investment Managers, IM Administration – such as: mail merges, generating reports, producing client packs, account opening, and ad-hoc client management (for example, data amendments, payments out, transfers and closures)


    • Ensure compliance with regulatory and organisational requirements/ procedures at all times e.g. suitability, KYC, FATCA.


    • Distribute and respond, as appropriate, to incoming and outgoing correspondence and e-mails

    • Ability to learn and develop knowledge of internal systems

    The successful candidate will be able to demonstrate strong verbal and written communication skills, with a good client facing manner. They should have great time management skills, be able to work to deadlines in a calm, methodical and professional manner, and work on their own initiative when required.

    The successful candidate will have a proactive and flexible attitude to work in response to changing workloads and deadlines within the teams. Reliability, enthusiasm, initiative, self-motivation and integrity are essential characteristics. Previous client-facing administrative experience is desirable, but not essential.
