About the Role:


The Island Surgery has a fantastic opportunity for an experienced medical secretary/administrative assistant to join their team on a full or part-time basis, weekly hours & working days negotiable.

The role will involve providing support to our clinical & management team & a high standard of patient care.


This is an essential front-line role at the practice, providing an efficient, comprehensive secretarial & administrative support service to the practice management team.


The main responsibilities of the role include:

  • Providing a full secretarial service including efficient audiotyping, copytyping & word processing, for all GPs & health professionals, as required. This includes the typing of letters, reports, patient referrals, meeting minutes, memorandums, etc., in an accurate & quality manner;
  • Handling patient & practice queries, regarding hospital appointments & treatments, confidentially;
  • Ensuring that any requests for information from medical records are appropriately dealt with, according to practice policy, & that all subsequent charges are invoiced appropriately;
  • Arranging meetings (to include the booking of rooms) as required;
  • Designing template letters & forms for use throughout the practice, as required;
  • Maintaining the computerbased clinic system, in an accurate & secure manner;
  • Assisting with the gathering of statistics and information, when required;
  • Performing any reasonable administrative tasks, as requested by the practice manager.

  • Strong audio
- and touch-typing skills;

  • Administrative experience and good organisation skills;
  • Sound knowledge of medical terminology;
  • Proficiency in the MS Office package, as well as excellent general IT skills and experience of working with a clinical system;
  • Experience in readcoding and workflowing clinical documentation;
  • Ability to 'think on your feet';
  • Flexible, adaptable and have excellent attention to detail.
  • Excellent communication skills, both written and verbal and a friendly approach;
  • Understanding of the need to maintain confidentiality and data security, at all times;
  • Ability to multitask and to work accurately under pressure;
  • Ability to work as part of a team, as well as being comfortable working independently. Knowledge and experience of medical terminology, general practice, SystmOne and the E-Referral System (ERS) would be advantageous although not essential as training will be provided.
