The Role - Assistant Contract Manager


To ensure the NLS Contract is compliant with the relevant legislation and to be operating with the contractual obligations under the PFI Contract.

To ensure full compliance with Health & Safety legislation within the Contract specification.

To ensure allinternal and external audits across the Contract are fully prepared for and all actions are monitored and closed within the given timeframe.

To develop procedures and practices to ensure that these requirements are met.
To ensure the day-to-day operationsare managed in line with the PFI Contract.


Duties/Key Responsibilities

  • Support the Contract Manager to lead, motivate and support a team of FM staff and subcontractors in the daytoday FM service delivery.
  • Assist in achieving all the KPI's as detailed within the contract project agreements for all FM service delivery ensuring that payment penalties are at an absolute minimum.
  • Manage project specific risks including the preparation, implementation, monitoring, and review of Business Continuity Plans.
  • In conjunction with the Technical Lead to manage, monitor, review and improve compliance to the Contract, either directly or through contractors.
  • Be proactive in identifying costsaving and profitmaking opportunities within the bounds of the Contract specification.
  • In conjunction with the Technical Lead, to ensure service contracts in place and all documentation is uploaded to Pinnacle SharePoint and is readily available for adhoc audits.
  • Understand the Organisation's strategic aims and translate them into practice.
  • Review PPM and Reactive jobs on Helpdesk
  • Technical and Contractual Reporting
  • Track RBM Requirements
  • Attend training and take on responsible persons roles and deputy responsible person roles providing the contract with resilience.
  • Develop processes to ensure that site documentation is completed in place, arranged and accessible.
  • Room data sheets compilation and management
  • Asset tagging and PPM processing
  • Logging and auditing of FFE (annual inspection)
  • Continued Development of QFM as an Asset Management tool
  • Liaison with Regional Compliance/Technical Manager to ensure commonality and consistency of approach.
  • Ensuring all information is up to date and available on Pinnacle SharePoint
  • Conduct internal audits and ensure any actions are recorded and closed within the appropriate timeframe
  • Assist the Contract Manager to develop and maintain systems and procedures to ensure the smooth running of the service.
  • Assist the Contract Manager to proactively monitor and measure customer satisfaction both quantitively and qualitatively on a regular basis
  • Deliver services with a full understanding of the contract specification (particularly output specifications) and statutory requirements
  • Assist and support the Technical Lead and Contract Manager ensuring best practices within the Hard and Soft Services are shared between functions, sites, and contracts.
  • Build professional relationships with key external stakeholders to ensure customer satisfaction, whilst also meeting the organisation's strategic and financial aims.

  • Coach and motivate colleagues to deliver services in line with the Contract specification and to the customer's satisfaction build colleagues' knowledge and awareness of the service specification
  • Development of technical skills within the inhouse caretaking team and Site Managers
  • To manage the training matrix and ensure compliance and development through training across the NLS Contract.
  • To carry out and ensure inhouse training is delivered through Toolbox Talks on a regular basis.
  • To coach, motivate and provide overall leadership to colleagues to deliver services in line with the contract specification and to the client and customers satisfaction.
  • Program, arrange and delegate PPM duties within the remit of the caretaking team. Monitor satisfactory completion and report back.
  • Assist the Contract Manager in the recruitment, induction, development, and management of operational staff, in line with the Company and Statutory procedures, including safeguarding children requirements.
  • Ensure the team is working efficiently, cost effectively, and performing highly against targets whilst ensuring a strong work ethic
