    Job description

    Looking for someone with exceptional personal qualities to coordinate digital design projects and be the primary point of contact for clients.

    We are looking for someone who can competently manage the associated resource, traffic, timelines and client expectations.

    In addition to overseeing the workflow and operations within the design studio, you will need to ensure projects are completed on time, within budget, and to the highest quality standards.

    This role requires strong communication skills, exceptional multitasking abilities, and a keen eye for design.

    Day to day activities include:

    • Assigning projects and tasks to designers
    • Managing bottlenecks
    • Responding to client requests on Slack and our project management system
    • Managing the scope and expectations of clients
    • Populating meeting agendas
    • Taking client calls
    • Managing budgets and timelines

    Responsibilities:

    Project Management:

    • Coordinate project timelines, milestones, and deliverables.
    • Assign tasks to design team members and monitor progress.
    • Ensure projects are completed on schedule and within budget constraints.
    • Communicate regularly with clients to provide updates and gather feedback.
    • Allocate resources efficiently to maximise productivity and meet project deadlines.
    • Coordinate with designers, and founders to ensure smooth project execution.
    • Manage freelance resources as needed
    • Conduct thorough quality checks on design deliverables to ensure they meet client expectations.
    • Provide constructive feedback to designers to facilitate continuous improvement.

    Client Relations:

    • Serve as the primary point of contact for clients throughout the project lifecycle.
    • Actively listen to client needs and concerns, addressing them promptly and professionally.
    • Cultivate strong client relationships built on trust and transparency.

    Budget Management:

    • Develop project budgets in collaboration with leadership.
    • Identify opportunities for cost savings and efficiencies without compromising quality.

    Process Improvement:

    • Continuously evaluate and refine internal processes to optimise workflow efficiency.
    • Implement best practices and standard operating procedures for project management and studio operations.

    Job requirements

    • Highly organised
    • Minimum of 2 years experience in a creative agency
    • Experience in project management software such as AirTable, Linear for example
    • Exceptional personal skills
    • Proactive team player who can work collaboratively in a small team
    • Great attention to detail
    • Can present in an articulate and engaging manner
    • Ability to receive and give constructive feedback with grace and professionalism
    • Self starter and highly autonomous worker
    • Action-oriented, confident presenting solutions alongside problems
    • Manage the creative process, client expectations and creative delivery
    • Highly motivated to train independently and share knowledge learnt with the team
