Role Overview
Other duties will include, providing professional administrative support to the Glasgow Residential team. This involves dealing with telephone queries, arranging viewings, logging property and buyer details, typing reports, invoicing, brochures and correspondence.


Key Responsibilities

  • Primarily to undertake antimoney laundering ID checks on private individuals, advise and respond accordingly as appropriate to the compliance team
  • Ensuring that files adhere to compliance and AML regulations
  • Providing full administrative support to the Glasgow Residential team
  • Filing online and offline, photocopying and scanning various documents
  • Responsible for the departments property keys and preparing completion gifts on settlement
  • Raising invoices, fee share allocation using Reapit (inhouse database)
  • Updating and/or producing schedules, spreadsheets, presentations, reports, pitches and correspondence
  • Book photography, floor plans and liaise with relevant companies
  • Taking enquiries on the phone, speaking to applicants/clients, arranging viewings when required
  • Registering applicants when required
  • Uploading and management of properties on inhouse database and websites
  • Assisting in the production of sales particulars
  • General office support as and when required
  • Maintain relationships with suppliers and processing invoices when required
  • Assist our Marketing department for team marketing initiative

Key Skills

  • Must have experience in a similar role
  • Intermediate/Advanced Microsoft Office skills (incl. PowerPoint)
  • Excellent verbal and written communication skills, including a pleasant telephone manner
  • Understand the principles and practice of client care
  • Ability to work in and understand team dynamics
  • Strong proof reading and attention to detail skills
  • Previous property sales or lettings experience is preferable
  • A flexible approach to work are and a positive attitude
  • Using initiative to ensure all necessary tasks are in hand
  • Proactive attitude and ability to multitask and to work accurately and effectively under pressure
  • Ability to exercise confidentiality and discretion at all times

Team Overview
The Glasgow Residential Sales team is a thriving and established world leading estate agency.

The team comprises a Director, two Associate Directors and three Assistants who facilitate the buying and selling of property across Glasgow and the West of Scotland.


The team work as part of the wider Glasgow office, which is a busy and social environment with a lot of interaction with our colleagues in the Research and New Homes teams.
