Description and requirements:
We are looking for a Personal Assistant to provide comprehensive and efficient PA support to the HR Leadership Team including management of the general office.
What you will do:
- Manage the diaries of the HRLT (except HR Directors) to deliver maximum effectiveness of time, scheduling meetings and booking meeting rooms etc. as required.
- Responding to and direct incoming calls for the HRLT and others directed to HR generally.
- Prepare expense claims as and when required.
- Liaising with key contacts of HRLT members both internally and externally.
- The key contact point within the HR function.
- Ensure all aspects of the HR office area run smoothly reporting any issues or concerns to either Facilities or IT to satisfactory conclusion.
- Processing HR requisitions and invoices through our systems to ensure timely payment and chasing, escalating where appropriate.
- Ordering office supplies to include stationery, laptops, mobile phones etc as and when required.
- Updating corporate documents and records, maintaining a high level of confidentiality.
- Production of adhoc reports and presentations as and when required.
- Making travel arrangements (flights, hotels, taxis) as and when required
- Organise HR meetings and annual HR conference including venue, invites and payments as required.
- Any other duties commensurate with the role.
What you will achieve:
- Ensuring HRLT diaries are up to date at all times
- Ensure all invoices and purchase orders are processed in time with our Payment Promise
- Ensuring appropriate stationery levels, all equipment is returned in a timely manner and costs minimised to the business.
What you will bring to the role:
- Experience at PA level for senior management
- Proven track record in secretarial / business administration
- The ability to work on the basis of trust and integrity is imperative maintaining a position of reliability of discretion at all times
- Highly organised
- Computer knowledge and efficiency including Microsoft Office, Excel, Word, PowerPoint and Outlook at advanced levels
- Excellent spoken and written communication skills
- Able to communicate effectively with all levels
