    Job summary

    An exciting opportunity hasarisen within the Medicine Division for a highly motivated and enthusiasticindividual to join the Neurology Admin Team at the Alexandra Hospital, as aSupport Medical Secretary working 30 hours per week.

    We are looking for aconscientious and adaptable person to work within the service. As part of theteam, you will be helping to provide an efficient and comprehensive secretarialservice to the Neurology Team, including Consultants, Specialty Registrars andnursing teams. Experience of providing administrative support is essential.

    Previous experience in ahealthcare setting would be advantageous, however, full training will be givenon our in-house IT systems and processes.

    Applicants should be able todemonstrate excellent organisational skills, the ability to work on their owninitiative as well as part pf a team along with an ability to prioritise andproblem solve. The role would ideally suit candidates who wish to embark on acareer in healthcare administration and are keen to learn.

    Main duties of the job

    The role will involve supportingthe senior medical secretaries by organising clinic appointments and the typing ofoutpatient clinic letters as well as providing support to the existing neurologyadmin team on a day-to-day basis with their typing and other correspondence,dealing with enquiries from clinicians, GPs, other hospitals, patients andtheir relatives, updating medical records as well as data collation to support divisionaltargets. In addition, there is a strong focus on supporting the DirectorateManagement Team with tracking and validation of patient pathways to achieve thenational 18 week Referral to Treatment (RTT) target.

    To assist with the sorting of the day to day incoming mail,taking action or referring back to the Senior Medical Secretary wherenecessary.

    Job responsibilities

    1. To assist with the sorting of the dayto day incoming mail, taking action or referring back to the senior medicalsecretary, where necessary.

    2. To undertake medical audio/copytyping duties, including outpatient letters to GPs, discharge summaries andother official correspondence.

    3.To accept enquiries from clinicians, GPs Health Serviceand Social Services personnel, other hospitals, voluntary agencies, patientsand their relatives. Patient contact bytelephone is an integral part of the basic role. To deal with these enquiriesor refer back to the Senior Medical Secretary where necessary.

    4. To ensure that electronic case notesare as up-to-date and accurate as possible by actively participating in the scanningof patient related documentation at the earliest opportunity.

    5. To participate in the use of the PASsystem to establish patient information and produce patient documentation asrequired.

    6. To assist in providing cover forother secretaries in the Medical Directorate to ensure continuity of service toConsultant, medical staff, service users and patients.

    7. To undertake any photocopying andcollation as required.

    8. To undertake any other duties as maybe required/appropriate by the Senior Secretaries/ Directorate Support Manager.
