About the Role:

Newport Surgery is looking for a part time receptionist to provide a point of contact for patients and act as a focal point of communication between doctors and other medical staff.

This is a part time role working 20 hours a week.


Duties include:

  • Ensuring the telephone is answered as promptly as possible, booking appointments and diverting calls to correct person
  • Managing the message system on the telephone system to cover holiday periods
  • Ensuring total familiarity with the appointment systems in effect, including regular and incidental variations
  • Booking appropriate appointments for patients attending the practice
  • Explaining practice arrangements and formal requirements to new patients and those seeking temporary cover, ensure procedures are completed
  • Entering new and temporary patients onto the computer and ensuring completed forms are sent to the Health Authority weekly.
  • Entering requests for home visits into the visit book, stating time received and including all relevant information and where necessary refer to the Duty Doctor. Ensure doctors are informed of all visit requests
  • Actioning requests for ambulance transportation and enter details in appropriate book
  • Ensuring that the reception and waiting areas are kept neat and tidy
  • Checking the pigeon holes daily ensuring that daily tasks are not given to absent doctors
  • Ensure that incoming mail is appropriately stamped and distributed.
  • Keeping filing up to date.
  • Previous medical or healthcare receptionist experience is desirable;
  • Excellent communication skills, with a clear and polite telephone manner;
  • Able to work in a polite, confidential and discreet manner, respecting patients at all times;
  • Experience of working with the general public, being sensitive and empathic in distressing situations;
  • Confident to work as part of a team and be able to think on your feet, independently;
  • Strong IT and administration skills.
Some flexibility is required, as you will sometimes need to work additional or alternative hours to cover for colleagues.
