The Portfolio Management Office sits at the centre of Defra's Group Corporate Services.

The team works across two broad remits - supporting both a large number of projects and programmes across 6 functions, driving necessary business change and technical development, and a core of a smaller number of transformational, high-impact, and high-profile initiatives.

These projects and programmes all aim to deliver transformative, harmonised and enhanced services across the Defra Group, including HR, Commercial, Finance, Property, and Digital functions.


This project support officer role would take part in project assurance to identify good practice and areas for improvement and would provide hands-on targeted support to some of those projects.

This role will be able to make direct contributions to the successful delivery of some of our key projects and programmes.


Job description:


We need a project delivery professional to join the Group Corporate Services Portfolio Management Office (GCS PMO) as a Senior Project Support Officer (as per Project Delivery Profession PDCF definition - benchmarked at SEO grade).

This post sits within the GCS PMO as part of the Assurance and Support team.

The Senior Project Support Officer will support the PMO's Assurance activities within the GCS Transformation Portfolio - helping to establish, operate and improve our Assurance Service; and


Provide direct PSO support to key projects - supporting the project/programme manager through the operation of project management processes; ensuring projects deliver to recognised standards; co-ordinate of business management actions and activities on their behalf.


Responsibilities

Typical role responsibilities include:


  • PMO Assurance
  • Supporting the roll out of Assurance processes within GCS and supporting the Assurance lead in carrying out Assurance activities.


  • Planning and scheduling

  • Ensure systems are in place to enable effective planning and scheduling.


  • Monitoring and reporting

  • Manage project controls, reporting to the Project Manager about the project status. Develop project performance reports.


  • Admin

  • Ensure organisational tasks are carried out efficiently. Manage compliance of the project with Departmental Security, Health & Safety, Equality & Diversity, Business Continuity and Business Planning.


  • Resources

  • Manage workforce planning, providing information for effective decision making to the Project Manager. Procurement of supplies and services related to project support within Delegated Financial Authority limits.


  • Stakeholder

  • Manage and engage with a wide range of internal and external stakeholders. Draft and signoff correspondence.


  • Financial control

  • Manage project spend and contribute to the compilation of budgets. Contribute to the project business case.


  • Risks and Issues

  • Lead potential risk areas, working with risk managers and escalating as appropriate.
