An exciting opportunity has arisen for a well-motivated and flexible individual to join us as a Medical Support Secretary within the Lower GI and HPB disease group for the Medical Oncology Team.


This role is to support the medical secretaries with administrative tasks such as booking appointments on careflow, communicating with patients on the phone, typing clinical letters in a timely manner as well as other clerical tasks.

This is a fixed 9-month term contract, 37.5 hour post, working over 5 days.

We can support a combination of home working and on-site working as part of this role and flexible working can also be considered.


You will be enthusiastic, willing to learn, eager to play an effective part in a busy team environment and be able to use your own initiative.


You will have experience of audio-typing and copy typing and ideally have worked within a healthcare environment with Medical Secretarial experience and a good knowledge of medical terminology.

  • To provide support to the clinical team. Support to include typing of clinical correspondence, treatment summaries and annotations, ensuring compliance with turnaround time / targets with the use of the digital dictation system.
  • Ensure accurate input of patient details when entering data on to information databases and patient administration system (Medway), including routine use of casenote tracking system.
  • Appropriately disseminate a variety of correspondence/documentation, some of which is highly confidential.
  • Make follow up appointments and data collection on patient DNAs
  • Assist with phone calls, which can on occasion be stressful and/or emotional/abusive and of a sensitive nature from relatives/patients, referring to PA/Medical Secretary if necessary
  • Completion of diagnosis and staging proforma.
  • Liaise with internal and external departments to arrange clinical investigations/procedures.
  • Liaise with staff at all levels both internally and externally, answering written and verbal enquiries when necessary. Taking action on all matters and referring to PA/Medical Secretary when required.
  • Filing/scanning of correspondence and test results in to electronic patient case notes.
  • Contribute to the training of new members of staff within a given area as required.
  • Demonstrate the agreed set of values and accountable for own attitude and behaviour.
