The Nottingham University Hospitals NHS Trust's Occupational Health Department is well established and highly successful, and boasts an excellent reputation both on a local and regional level.

We are looking for an enthusiastic and motivated individual to provide a medical secretarial service to the Occupational Health Physicians, Senior Nurses and Business Manager along with supporting the smooth running of the office by undertaking reception and telephone duties in order to ensure workloads are achieved and service requirements are met.


This role requires an eye for detail, excellent communication and keyboard skills and the ability to multi task whilst working calmly under pressure in this particularly busy environment.

Flexibility is essential as you will be required to work between City and Queen's Hospital sites.

Main duties of the job

Brief duties include providing a medical secretarial service to the Occupational Health Clinicians. Arranging follow up appointments and appointments for health screening, surveillance and medical consultations of employees including appointment letters.

Chasing outstanding medical reports requested from third parties, maintaining and updating the electronic patient database and contributing to the provision of a smooth running office by undertaking reception and telephone duties as well as covering the appointment bookings line on a rota basis along with general office duties.


Further elements of this position will be providing reception and telephone cover and booking appointments via our telephone appointment line and the maintenance of client medical records and data inputting to our bespoke software computer system.

Working for our organisation


We are a friendly team of around 35 staff consisting of doctors, nurses, counsellors, technicians and admin who work together to deliver an occupational health service to our own Trust and private organisations which we deliver from both Queen's Medical Centre and City Hospital sites.

Our department offers this service Monday to Friday between the hours of 8:30 and 4:30 excluding bank holidays.

Training / Qualifications

Essential criteria

  • 4 GCSE's or equivalent including English
  • NVQ level 2 in administration or equivalent experience
  • RSA2 or equivalent
Desirable criteria

  • RSA 3 typing/word processing skills or equivalent
  • ECDL or equivalent
  • Recognised secretarial/administration qualification
Experience

Essential criteria

  • Minimum of 2 years office/secretarial experience
  • Medical terminology knowledge
  • Reception, telephone and diary management experience
Desirable criteria

  • Experience of supervising others

Salary:
The quoted salary will be on a pro rata basis for part time workers.
