HOURS:
FULL TIME (37.5 hours over 5 Days, Mon - Fri, 8am - 4pm & 9am - 5pm, Rota Basis)


SALARY:
£20,389.34 PER YEAR**
Job summary:To work as part of a large administration team providing cover for all aspects of practice administration. Providing a wide range of administration support to the practice, doctors, health professionals and management involving word processing, referrals, and general administration work and other duties as and when required.


Job responsibilities:


  • Ensure a timely response to patient referrals and other patient document requests, eliminating delays, and liaising with staff, clinicians and stakeholders for all areas of administration duties.
  • Review our web based systems and deal with all related queries from patients and hospitals.
  • To assist the management and clinical teams with all clerical and administrative duties.
  • Arrange patient appointments for the completion of referrals and monitor actions from these appointments.
  • Assist in diary dates, confirming bookings and admissions details as required.
  • To establish and maintain filing and administrative systems so that written or computer information is secure and stored as per company policy.
  • To assist in accurate creation, storage and retrieval of medical records including summarisation and coding.
  • To maintain the computer clinical system in an accurate, coded and secure manner, ensuring data security, confidentiality and information governance processes are upheld at all times.
  • To assist in the completion of medical/insurance/legal reports where required.
  • Securely scan and file patient records and any correspondence in patient medical records.
  • To receive incoming and initiate outgoing telephone calls with patients and others in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
  • To assist in the usage of AccuRx triage systems and text messaging systems where required.
  • To assist with the gathering of statistics and information and work towards QOF targets with support when required.
  • To participate in training events, mandatory training online, appraisals, clinical forums, group and committees as required.
  • To be responsible for your day to day work load, and work with some autonomy to complete work with minimum direction, to a high standard meeting suitable deadlines and KPI targets.
  • To receive and dispatch both electronic and paper based mail and maintain an incoming and outgoing document system.
  • Assist in reception duties if required including answering the telephone and booking appointments.
  • To facilitate and attend meetings (patient / MDT) as required and to attend other meetings to take minutes.
  • To work as part of a team, and be flexible to provide cover for the wider practice team.
  • Premises:
  • Open up premises at the start of the day if first to arrive,
  • When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated.
  • Undertake any other additional supporting duties appropriate to the post as requested by the management or clinical teams.
