Role:
Directors' Support Assistant


Purpose:

To provide a wider ranging and effective support service to the Directors and Senior Leadership Team (SLT)


Main Duties & Responsibilities:


  • Generally, to provide administrative support to Directors / SLT as required, including:
  • Arranging meetings and support documentation as required, including diary management support where needed
  • Support TVS Directors and SLT with objective tracking and ensure action followup happens
  • Liaison with SLT to gather agenda topics for monthly SLT meetings and track followup of actions to ensure completed.
  • Actively assist Directors with driving improvement actions from annual Staff Surveys, specifically improved communications.
  • Support TVS Directors in liaising with Leidos on local facility issues.
  • Manage SLT annual leave calendar
  • Manage travel/hotel booking process and coordinate the administration and booking of Pool (including servicing and repairs) and hire cars
  • Responsible for ensuring that all colleagues have provided relevant documentation in relation to work related travel i.e annual driving licence check and business insurance for own car if used for business travel
  • Administrative tasks in relation to the Employee Representatives Forum including taking minutes and arranging meetings and tracking followup action
  • Support Directors in coordinating periodic compliance and governance checks across the business (such as Conflict of Interest declarations and NDA updates).
  • From timetotime and when requested, provide adhoc support to Chorley HQ in CEO's PA absence.

Qualification, Skills and Experience

  • Good administration skills. Familiarity with MS Office products.
  • Good interpersonal skills and ability to take on and efficiently complete administrative tasks.
