An exciting opportunity has arisen for a Specialty PA (Medical Secretary) to join Respiratory Medicine for Maternity cover.

We are looking for a dynamic and enthusiastic person to join our team delivering of a high quality secretarial and administrative service to Respiratory Consultant Physicians and associated activity within the department.

Main duties of the job

Working as part of a wider team the post holder must exercise initiative to organise their own workload (and that of others) within defined deadlines facilitating an efficient and effective patient pathway by ensuring they receive the appropriate diagnostic tests and appointments within a specified timescales and highlighting these to the clinical staff.


Some of the key elements are:

  • Use and maintain admin and patient information systems/databases/reports in relation to patient pathway e.g. for tracking and flagging investigations and results, booking appointments, actioning onward referrals.


Telephone calls inbound/outbound relating to patients specific care, in a confidential, sensitive and empathetic manner, with patients, GPs, other departments and the wider health community.

Consultant clinic and diary management.

The line management of the support secretaries that are part of the administrative team.


Accurately transcribing from digital dictation or verbal instructions, outpatient clinic letters, results letters to patients and miscellaneous correspondence to a high standard and within specified timescales (mainly audio typing).

Supporting the management team in achieving the department targets, goals and aspirations.

Person specification

Training & Qualifications

Essential criteria

  • RSA level 3 text or word processing or equivalent types letters and reports from scratch
  • NVQ level 3 in Administration or equivalent
  • Good standard of secondary education including English and Maths at GCSE C or above
Experience

Essential criteria

  • Significant experience in office administration with customer contact e.g outlook, spreadsheets (maintaining and updating), creating letters, reports, tables, answering and resolving telephone queries
Desirable criteria

  • Previous admin experience of working in the NHS using patient systems (medway, notis, DHR etc)
  • Previous experience as working as a PA / support to others
Communication

Essential criteria

  • Demonstrates they can clearly and accurately convey information verbally gathered from both verbal and documented reports & spreadsheets in a clear and concise way
  • Demonstrates understanding of confidentiality, using sensitivity and empathy in communication with patients/clients
Analytical, judgment & organisational skills

Essential criteria

  • Uses judgement to make decisions in order to solve problems/queries with competing demands and meeting deadlines
  • Evidence of proactively organising own workload and activity within a team e.g. sorting out cover for absence in the team, sharing workload or helping with time critical activity

Salary:
The quoted salary will be on a pro rata basis for part time workers.
