Estate Management Officer
This is a varied role which requires flexibility, hard work and commitment.

The post holder will be required to work from Whiteley, with occasional travel to our London and Winnersh offices, but only when repairs are needed.


You will be the point of contact for all facilities support offering quick fixes, contractor liaison and delivery, and mitigate longer term maintenance of the 3x sites - meeting expected high standards and that of regulatory requirements.


You'll be a pivotal individual within the Gattaca offices, on hand to deal with situations quickly and efficiently, as well as support the wider management of contractors such as the cleaning, testing and general maintenance.

You'll need a high level of attention to detail and communicative to ensure tasks are completed with efficiency and quality in mind.

Responsibilities:
  • To provide a professional facilities service to our UK headquarters in Whiteley and support our Winnersh and London Bridge offices
  • which are site managed.
  • Manage and coordinate the procurement, management, monitoring, and arranging of all subcontracted works.
  • To provide a first line of support and repair for all facilities related issues on site and manage to completion.
  • Work closely with the Head of Legal and Head of HR Ops to support contracts and manage supplier relationships for Facilities services across the site.
  • Take direction from the Head of Legal for any site or landlord commercials.
  • Regularly record all utilities usage and monitor value vs cost, making recommendations where appropriate.
  • Support our ESG strategy by making the outputs of your role more sustainable and environmentally friendly.
  • Attain any information and support the completion of ESG audits, ESOS, SECR upon request.
  • Assist the Health & Safety Officer in carrying out risk assessments as and when needed.
  • Carry out regular testing of site electrical and mechanical requirements.
  • Liaise and work with the IT Operations Manager to deliver any structural or mechanical changes to the building.
  • Regularly look to develop support systems.
  • Champion the highest level of customer service that the department as a whole delivers.
  • Act as an ambassador for the Values.
  • Follow invoicing procedures and work with the Head of HR Operations to ensure that all costings for the department, and other areas, are appropriate.

Skills, Competencies and Experiences:


  • Experienced in facilities and maintenance, similar role held previously.
  • Experience of space planning, people moves and fit outs advantageous.
  • Good general education standard. Technically trained would be advantageous.
  • Knowledge of maintenance standards i.e. HVAC or HSG70 would be advantageous.
  • Ability to assist in creating procedures and policies.
  • Experience of working with IT staff and use of help desk systems, advantageous.
  • Ability to plan and arrange works to budgets.
  • Ability to look at a plan and understand the knockon effects and adjust plans for least business disruption.
  • Experience of working in a diligent manor and previous experience of working with external auditors.
  • Good overall understanding of facilities delivery and SLA's.
  • Flexibility in approach and location of working.
  • Proactive and able to use own initiative
  • Highly organised with strong written and verbal communication skills
  • Have a 'cando' attitude with a willingness to go above and beyond the minimum expectation
