Legal Secretary to Senior Partner urgently required.

Our client is a leading firm based in the York area, offering an excellent salary, benefits, holidays etc. They are seeking a legal secretary to work within their busy property department.

Purpose of Job

To provide secretarial support required for the smooth running of the York Office, together with general office and reception duties.

Additionally to provide secretarial support to the Hull Office, as required.

Organisation

The job holder will work under the supervision of the York Office Partners, whilst liaising with the Director of Finance & Operations.

Hours of work are 9.00 am pm - Monday - Friday,

The main requirements of the job are:


  • Duties:
(i) Providing typing support for Lawyers using digital dictation.


To include word processing of:
- tidying up draft documents produced by Lawyers
- drafting straightforward documents

(ii) Taking telephone and other messages for Lawyers within the office

(iii) Answering, where appropriate, queries from clients and other Lawyers.
- making calls to clients to inform them of progress on their file (on the instructions of a Lawyer)

(iv) Administration
- photocopying
- faxing / scanning
- file opening / closing
- retrieval and archiving of documents
- making appointments in the computer diary for Lawyers
- organise travel arrangements
- filing

(v) Liaison with Records Department for file administration

(vi) To cover Reception and General Office duties (rota basis)

Direction Received

Day to day directions are received from Lawyers within the York Office and from the Director of Finance & Operations and Head of Human Resources.

Working Contacts
Frequent contact with Partners, Lawyers, other members of staff, clients and telephone callers dealing with the York Office.

Skills and Experience

The job requires a meticulous eye for detail, flexibility and the aptitude to work well as part of a team.

Prior experience as a Secretary and working in a legal office environment is preferable. Training will be provided.


Computer literacy with good keyboard skills is necessary, together with a sound command of English grammar, punctuation, spelling and comprehension.

Software currently used by the firm includes Microsoft Word, Outlook, Big Hand (digital dictation) and AdvancedLegal Office (ALB).


It is also essential that the jobholder has good interpersonal skills and can communicate clearly and effectively with both internal and external contacts, and has the ability to deal with matters tactfully.

Substantial legal secretarial experience is essential
