Our client in Aberdeen are looking for an experienced Crewing Coordinator to join their busy Operations Department on maternity cover contract with the potential to go permanent at the end.


The Crewing Coordinator will be responsible all aspects of crewing and logistics as per project allocation and as directed by the Crewing Manager and Project Managers.


RESPONSIBILITIES

  • Responsible for the scheduling and facilitation of offshore personnel crew changes and working closely with department Planner
  • Provide comprehensive Visa and travel coordination, working with external Visa and travel management provider
  • Schedule flight arrangements, accommodation and organising any other logístical requirements
  • Track all personnel movements for project mobilisation and crew changes, keep all personnel notified of mobilisation dates, rotations, base working, and training days
  • Track and process expenses and timesheets, ensuring completion as per the submittal requirements of payroll
  • Dealing with any payroll queries and redirecting queries as necessary
  • Assist Project Managers in ensuring the efficient delivery of projects
  • Organise and order PPE and kit requirements for offshore personnel
  • Prepare project assignment notes, travel letters and any other travel or project information
  • Assist with the preparation of regular monthly invoices
  • Coordinate project and client specific personnel certification e.g. medicals and safety training, with the Training and Competence Team
  • Gather the relevant data from all individuals travelling to operations in relations to obtaining visas
  • Participate in the department and emergency oncall response rota
  • Any other support required within the operations team

KEY REQUIREMENTS

  • Experience of contributing to a team and delivery against schedule driven targets and deadlines
  • Previous experience of a "service company" culture
  • Previous experience in a similar role (Desirable)
  • Previous Experience in visa and travel role (Desirable)
  • Competent in Microsoft Office
  • Able to handle multiple assignments simultaneously and meet deadlines
  • Excellent communication skills oral and written
  • Ability to convey a positive and professional image to onshore/ offshore personnel and senior management
  • Ability to effectively establish positive working relationships with onshore/ offshore personnel and senior management
  • Ability to work as part of a team
  • Highly organized and efficient with attention to detail
  • Honest, trustworthy, and discreet
  • Capable in multitasking and problem solving
  • A "can do" positive attitude, with a focus on delivery

Job Types:
Full-time, Fixed term contract, Temp to perm
