Description

The Resourcing and Process Ownership Team's primary aim is to ensure that the Operations Directorate is properly resourced, efficient, and effective.

We achieve this through robust forecasting, procurement, and deployment of our resource and, by overseeingcontinuous improvement in our processes, data management and compliance.

We are a new and dynamic team keen to embrace new ways of working with a multidisciplinary approach.


In the role of Operations Support Coordinator you will support with the effective management, coordination and deployment of our flexible Inspector resource.

You will also support with organising and overseeing relevant team processes and systems administration.

You will be responsible for supporting the team to continuously review, improve, and develop operational processes leading to new ways of working and wider organisational change.

In this role you will work closely with relevant stakeholders across the organisationto deliver these key areas of work.


Operations Support

  • Continuously review, improve, and develop team processes to support new systems and wider business change which impact on team deliverables.
  • Coordinate and oversee the administrative tasks required for NSI and FTC Inspector management.
  • Act as Checkmark system user administrator and undertake administration of the IIT, APO and postdecision reading process.
Source Inspector reader resource and allocate reading work.

  • Respond to more complex NSI and FTC Inspector queries.
  • Write and source articles for the NSI and FTC Inspector newsletters.
  • Provide administrative advice and support to the AO team.
  • Process payments for Operations using GPC cards
  • Book specialist, individual and technical training courses for operational staff (through GPC payments)
  • Undertake the administration of time recording system, producing regular reports, and supporting analysis to the business,
  • Undertake the 10% NSI quality performance and fees checks.
  • Ensure NI and plans' invoices are issued on time (keeping track of invoices and reconciling these to payments received). Liaise with relevant project teams to ensure that clients are aware of invoice due dates. Where payments are late, chase overdue paymentsin liaison with Finance (where payments remain outstanding ensure that debt collection process is invoked).
  • Provide invoice information to team leader to enable the production of timely and accurate monthly budget reconciliations (eg timely raising of SAP invoices).
  • Liaise with Data and Performance regarding resourcing model, resolving data quality issues and responding to queries.

Customer/Stakeholder relationships

  • Promote the delivery of excellent customer service within teams.
  • Establish and maintain strong relationships with internal and external stakeholders.

Team

  • Build effective and supportive relationships within teams, across the Inspectorate and with stakeholders. Work together with others to assist the delivery of organisational strategic objectives.
  • Share process improvements and efficiency ideas and solutions to enhance team and organisational performance.
  • Listen and act upon feedback and take responsibility for selfdevelopment.
  • Be a role model for PINS Core Values.
  • Make decisions that are in the overall interest of the Inspectorate and the successful delivery of the strategic plan.
  • Ensure personal and organisational data is stored and managed in line with organisational policies and procedures.
