Hours:
Office based, 9:00am - 5:30pm

Proactive, tenacious self-starter, reporting directly to the Managing Director. This role is first response for tenants and has full ownership for the successful collection of rents. Keeping commercial arrears to sub 0.5%, this new role has an opportunityto craft and structure as seen fit. This role has a Property Administration focus with Sales Ledger and Purchase Ledger responsibilities.


_Responsibilities include:
_


  • Load new leases on Qube (MRI)
  • Keep Qube up to date daily
  • Post monthly tenant adjustments as authorised by Asset Manager
  • Ensure that tenant statements are run monthly after they have been signed off


  • Invoicing

  • Via in house Property Management System (TBD Propman or MRI)
  • Support the Asset Manager on the administration of the portfolio
  • Rent collection and Reconciliation
  • Checking the client bank account, checking and downloading daily BACS payments, post payments and reconciling against tenant accounts to ensure that the correct rent / service charge split has been received. Allocateto the tenants account on Qube.


  • Arrears

  • Speak to tenants to ensure that rents are paid over. If they are late paying, understand and solve the issue, send statements, receipts, or arrears letters.


  • Insurance

  • Manage the recharge and late payment fees.
  • Service Charge Accounts and Reconciliation
  • Work with the Asset Manager for service charge setting and thereafter manage the service charge ledger.
  • Compile weekly pack of invoices for the Asset Manager to authorise
  • Load BACS run for payment from signed off invoices weekly
  • Inform Asset Manager if invoices have not been received for electricity, water and gas
  • Maintain a schedule to ensure that water, electricity, gas and rates and taxes are paid when they are due to avoid paying interest
  • Upload invoices weekly into Qube for safe keeping
  • Upload leases and tenant documentation into Qube for safe keeping


  • Tenant Contact

  • Point of contact for tenants to advise and help with any query where possible. Working as a team with Property Manager, Facilities Manager and Facilities Manager logistics.
  • Liaise with project team and Asset manager for the handover of units from development to management
  • Liaise with Financial team for monthly close off and statement run
  • Maintain 85% customer satisfaction on Google reviews
