Job description:


  • We are looking for a HEO to take up this fastpaced and exciting opportunity as the Executive Assistant to the Director of Portfolio & Affordability directorate. Portfolio & Affordability directorate is taking on some of the biggest challenges when it comes to action on climate change. Almost all the UK carbon emissions from heating will need to be zero by 2050. Portfolio & Affordability directorate comprises of 1 Director & 9 Deputy Directors with just under 200 staff. We are a sociable and fun directorate where people are encouraged to put forward and develop their ideas in a safe environment.
  • The role is challenging and rewarding with a level of exposure that requires a strong eye for organisation and detail. You will need excellent interpersonal skills and be comfortable interacting with senior officials and stakeholders of all levels. You will play a critical role in helping to deliver the organisation's objectives by providing high quality administrative, diary and inbox support. You will also work closely with a wide range of stakeholders, with the opportunity to tackle additional projects and tasks to support and aid the development of the wider directorate and group.

Person specification:


  • The postholder will play an active part with ensuring the delivery of projects alongside inbox and diary support

Example duties include:

  • Daytoday management of the diary, forward planning to ensure the Director's longerterm priorities, commitments and responsibilities are captured.
  • Arrange all meetings virtual, inperson and telephone calls making sure there are no clashes.
  • Book all travel including meeting rooms ensuring requested accommodations are fed back to the requestor.
  • Prepare and obtain meeting papers, briefing notes for all meetings and liaise with organisers to ensure the Director has everything they require.
  • Draft and take ownership of the all staff communications on behalf of the Director. Ensuring communication is clear, business and corporate updates align with current and ongoing departmental priorities.
  • Draft correspondence to external stakeholders and team members acting on behalf of the Director.
  • Track and manage annual leave requests for the Director and their direct reports, 9 Deputy Directors. Ensuring there is appropriate SCS and meeting cover during peak periods of annual leave.
  • Manage the Director's time in the office ahead of time. Ensuring desk and meeting room space is booked, and they have all that they need to have a productive working day.
  • Provide logistic and administrative support during key meetings, including internal/external stakeholder events and directoratewide meetings.
  • Lead frequent onetoone diary/update meetings to ensure the Director is fully briefed on their weekly engagements and priorities, preparing information in advance.
  • Act as initial point of contact for all general enquiries and ensure the detailed requests are communicated in a timely manner.
