    Workplace Experience Coordinator, EMEA

    Location: London

    Length: 7 Months

    Rate: TBC

    Hours: 9am-6pm

The Workplace Experience Coordinator will be responsible for providing an exceptional experience to all staff and visitors, ensuring we are using resources to the optimum.

    The successful candidate will be proactive and creative and will be encouraged to express new ideas on improving the overall experience in the workplace. This role reports directly to the Workplace Experience Manager.

    Job responsibilities include:

    • Ensure an exceptional experience for all stakeholders, to include staff, visiting employees, new hires, guests and interview candidates.
    • Promote a high level of satisfaction among staff by promptly responding to their service requirements. Ensure the same level of service from team members and Workplace vendors.
    • Work collaboratively with cross-functional partners and immediate team members to support the delivery of service excellence, continuously evaluating existing processes to identify areas of improvement where possible.
    • Work collaboratively with vendors to ensure high levels of service, maintaining solid communication and good working relationships.
    • Assist with Reception duties, presenting a professional and welcoming first contact to all visitors, coordinating shipping and receiving requests, managing New Hire fob access etc.
    • Support the EMEA Workplace Food & Beverage Manager and Workplace Experience Manager to ensure a high level of service and quality with on-site catering services.
    • Working across various contact streams to assign, monitor and complete employee requests in a timely and efficient manner.
    • Assist the Workplace Experience Manager with staff engagement and Workplace communications.
    • Manage office supplies, from design conception to stock control. To include but not exclusive to, stationery, toiletries, first aid supplies, swag, front of house supplies.
    • Work with external vendors and Workplace Operations team members to actively improve and promote our sustainability performance.
    • Assist with planning, coordination and set up for any events within the office - working with partners, vendors and stakeholders to ensure smooth and successful execution.
    • Work collaboratively with Workplace Operations to Onboard and welcome new employees into their new workplace.
    • Work with Workplace Operations to ensure that Health and Safety within the workplace is always observed.
    • Support Workplace Management and Operations teams on an ad-hoc basis as well as other EMEA Workplace teams.

    Requirements:

    Experience in a similar position for a minimum of 2 years is needed to be successful in this role

    A team player of approachable and social disposition, with ability to maintain successful relationships with all internal and external stakeholders

    Customer service driven, with the ability to demonstrate innovation and drive

    Self motivated and proactive, with confidence in knowing when to make a decision, and when to seek further clarification

    Details driven with excellent verbal and written communication skills

    Demonstrable problem solving skills, with the ability to exercise excellent judgement in reaction to the current needs of the workplace

    Accustomed to multitasking in a fast-paced creative environment, with strong attention to detail and excellent organisation skills

    Flexible attitude and willingness to sometimes work outside of the usual office hours

    Knowledge and proficiency with Gmail, Google Docs, etc.
