Tullow Oil is a well-established, recognised and African focussed independent oil and gas company. The Group has interests in over 30 exploration and production licences across 8 countries in Africa and South America.

Tullow Oil has an exciting opportunity for a CEO Executive Personal Assistant to support our Chief Executive Officer.

You will be an experienced Executive PA, who has managed administrative duties to a CEO previously. The role will require you to work closely with our CEO to understand his business and personal itineraries. This will include, but will not limited to, diary management, managing his social media account and supporting with meetings.

We are looking for proactive individual who takes the initiative. You will have excellent attention to detail and be a proficient communicator.

This is a full-time permanent position, based in our Chiswick office with hybrid working arrangements.

Support CEO in external engagements and meetings

  • Manage any research or advance planning required.
  • Ensure that CEO is well briefed for all meetings including (but not limited to) research to provide attendee briefing, purpose of meeting, meeting papers etc.
  • Ensure there is clear accountability for follow up actions.
- **Support CEO in key governance processes including Board and SLT meetings*
  • Work closely with CoSec to align upcoming meetings.
  • Take ownership of SLT meeting agenda and ensure it is well aligned with Board calendar.
  • Ensure timely preparation of SLT papers and follow up on actions from SLT meetings.
  • Support CEO in preparing CEO report for the Board, including integrating input from direct reports in a timely manner.

Lead in the organisation of key events including, but not limited to:

  • Strategy offsite, SLT and ELT offsites.
  • Events with external stakeholders.
  • Work with internal comms team to support CEO in speeches, external events.
  • Take ownership of and manage CEO's social media profile.
  • Have a good understanding of personal priorities and provide support where necessary e.g., with travel.
  • Manage CEO diaries for external and internal meetings.
  • Administrative support as required including typing, filing, presentation preparation, collating data and conducting research.
  • Organise & book meeting rooms internal & external.
  • Act as point of contact for internal & external clients wishing to meet with the CEO.
  • Organise and where required attend meetings to ensure CEO is well prepared. Take minutes and action items as required.
  • Responsible for the dissemination of information either in advance or after meetings, following up on actions to ensure that agreed steps are carried out in a timely manner.
  • Liaise with travel team to coordinate and book travel arrangements including flights, hotels, visas and cars/taxis.
  • Produce itineraries for travel and offsite meetings.
  • Liaise with PA's in county regarding visits to Tullow offices to confirm itineraries.
  • Prepare expense reports for approval and manage company credit card.
  • Identify areas for improvement for cost savings and ways of working.

Skills

  • Experienced Executive PA with experience in supporting senior management level.
  • Ability to interact with Directorlevel external stakeholders and their assistants, across multiple contrasting cultures, including third parties, and government officials
  • Strong organisational skills, ability to multitask and prioritise workload.
  • Project Management experience (essential)
  • Good MS Office skills especially Word, Excel and PowerPoint
  • Excellent communication skills both written and verbal
  • Experience of working with confidential and sensitive information.
  • Results focused individual who works effectively at all levels within the organisation and negotiates successful partnerships.
  • Creative and adaptable with a recognised ability in planning and streamlining processes.
  • Ability to work on own initiative and take a proactive and positive approach.
  • Attention to detail is essential
  • Trained in SAP advantageous

Experience

  • GCSE's or equivalent including English and Maths
  • Administration qualifications advantageous
