    The Role:


    Reporting into the Managing Director, the Administrative & Office Assistant will play a pivotal role in providing high-level administrative support to the Managing Director and ensuring the smooth day-to-day operations of the office.

    This role involves a combination of administrative, organisational, and communication tasks to support the efficient functioning of the workplace.


    As such, you will need to enjoy working independently within a fast-paced environment, have plenty of initiative and strong communication skills, the ability to think on your feet and prioritise accordingly, along with diplomacy and tact when dealing with confidential and sensitive matters.

    Excellent English, a strong eye for detail and advanced writing skills are essential for this varied role.


    Key Responsibilities:

    • Coordinate and manage the Managing Director's calendar, scheduling appointments, meetings, and events
    • Anticipate and prepare materials for upcoming engagements of the Managing Director
    • Arrange domestic and international travel, including flights, accommodation, and itineraries
    • Ensure travel plans align with the Managing Director's schedule and preferences
    • Draft, proofread, and edit correspondence, reports, and presentations
    • Prepare agendas, materials, and documentation for meetings
    • Handle sensitive information with discretion and maintain a high level of confidentiality
    • Track and reconcile expenses, ensuring accurate and timely submission of expense reports
    • Undertake adhoc tasks and projects as assigned by the Managing Director
    • Serve as a point of contact for employees, clients, and visitors
    • Assist the Office and Wellbeing Manager overseeing the daytoday operations of the office, ensuring a clean, safe, and wellmaintained work environment
    • Assist with the coordination with external vendors and service providers for office maintenance, supplies, and equipment
    • Assist the Office and Wellbeing Manager in organising wellness activities, events, and workshops to support a healthy and positive workplace culture
    • Act with autonomy, make decisions, and act in line with company policies
    • Be an advocate for continuous business improvement, supporting relevant projects as and when required
    • Assist in the maintenance of the Diligent Sustainability System
    • Assist in the maintenance of relevant spreadsheets, charts, and structures
    • Prioritize and manage multiple tasks and projects simultaneously

    Experience & Skills:

    • Fluency in English, written and spoken. Any additional European language is advantageous
    • Proven experience in executive assistance, office management, facilities coordination, or a similar role
    • Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
    • Scrupulous attention to detail
    • Strong organisational and multitasking abilities
    • Excellent communication and interpersonal skills
    • Familiarity with health and safety regulations and compliance
    • Ability to collaborate with crossfunctional teams
    • Problemsolving and decisionmaking skills
    • Proactive and autonomous


    This role is hybrid-based with two days work from home (Mon, Tues) & 3 days London-based within our Victoria office (Wed, Thur, Fri).
