Job description:


_Hybrid Role + Site Travel Required 2-3 days a week _

Job Purpose:


  • The Facilities Services Advisor will work across a defined region within the business portfolio covering sites from Birmingham to Aberdeen to support the operational teams with the delivery of planned and reactive facilities activities.
  • The role holder will work with external contractors and service providers to deliver services which ensure the standard and integrity of assets remains high, engaging the wider facilities and property team to support in specialist areas as required.
  • The role requires extensive travel to visit all properties within the region to develop a firm understanding and knowledge of the assets.

Key Responsibilities:

Service Providers
  • Establish working relationships with appointed service providers and monitor their performance in line with contract SLAs and KPIs.

Asbestos Management Plans & Surveys
  • Monitor the Asbestos Management plans that are required across the building portfolio.

Building Fabric Repairs
  • To support site teams with all escalated reactive maintenance issues.

Commercial Units

  • Across the commercial units support with landlord liability repairs, liaise with tenants and undertake annual inspections with a member of the Property Team

H&S Matters

  • Working with the H&S Manager and the Facilities Services Manager, ensure that the operations teams are fully briefed and compliant with RAMS, PTWs, COSHH, Fire Evacuations and Lone Working arrangements.

Energy Management

  • Liaise with the operations teams to obtain utility information and allow access as required.

Summer Turnaround Programme
  • Work with the operations teams to provide the necessary service providers/contracts to undertake all activities associated with the Summer Turnaround programmes.

FM Services

  • Performance Reports Using the 3rd Party CAFM system, run regular reports on planned maintenance and reactive tasks for the Facilities Services Manager to review, analyse and act upon.

Contact & Escalation
  • List Liaise with the Operations Teams in your region to ensure that the Contact and Escalation List is updated on a regular basis and provided to the Service Desk and other external parties.

Fire Monitoring

  • Liaise with the Fire Monitoring Alarm Receiving Centre to ensure that the Site Contacts are provided and are aware of the actions needed within the required time frame to effectively deal with fire alarm activations in your region. Obtain activation reports from the ARC, analyse trends, and identify matters for escalation to the Facilities Services Manager and operations teams

ESP Head Office
  • FM Services
  • Support the Facilities Services Manager with the ESP Head Office, coordinate cleaning, M&E, risk assessments and other services as required. Liaise with the IT and Property Teams as necessary.

Finance

  • To review all quotations within control and challenge costs with suppliers, source quotations comparison value for business

Health & Safety and Compliance
  • To monitor and action any incidents within control/remit and any appropriate actions from Safety Net.

Ad-Hoc Duties

  • Undertake adhoc duties that may arise from time to time.
