About this role


At Orange Moon Training we pride ourselves in the delivery of quality training, which needs to be supported by quality administrative processes.

As an administrator in our training team you will be responsible for completing the day to day administrative duties to ensure:

all learner/student records both paper based and electronic are up to date and accurate
accurate information is provided to the delivery team and management team as required
data is input in the relevant systems accurately and timely
excellent customer service is provided throughout the entire learning journey from; enrolment and onboarding students through to the completion of their course
our customers, new and existing, are kept update with the information they need and their queries quickly resolved.

We are looking for both an experienced administrator and a new administrator looking to develop via an apprenticeship.

Key Duties


Specific training administration duties:

Support online learner (student) recruitment events and webinars
Support open days and enrolment events, both classroom and online, including managing the logistics, etc. venues, facilities, dates, etc.
Administrative checks to ensure the learner is eligible for funding.
Input and submit learner data to a range of internal and external systems and organisations.
Liaising with learners to help resolve queries
Liaising with employers to help resolve queries, especially new employers
Prepare, send out and monitor e-paperwork for learners across all our training programmes
Face to face and remote contact with several stakeholders to ensure the successful submission of learner data (e.g., funding providers, work placements, assessors, and learners)
Booking and invigilating learner exams on behalf of their tutors
Resolving external queries from funding providers on submitted data
Create, maintain, and update learners e-portfolio on our learning platform OneFile.

You will work closely with the assessor/tutor team to ensure that learner data is kept up to date and learners complete on time.

Registering learning with awarding bodies and processing learner certificates
Maintaining learner attendance records


General administrative and customer service duties:
Taking telephone enquiries, screen and direct phone calls and distribute correspondence
Update the website with our latest vacancies and courses
Minute internal team meetings
Liaising with other professionals in the office to ensure team tasks are completed
Make travel bookings e.g. hotels booking & train tickets.
