Description

This is a new role to provide HR & OD admin support to our HR team, our preceptorship programme, and our internal organisation wide development programme.


  • Act as first point of contact for the department, dealing with routine enquiries in a pleasant and helpful manner, communicating relevant information to stakeholders, referring to others as appropriate.
  • Manage the inboxes of the department.
  • Provision of basic HR advice to employees and managers related to pay, terms and conditions, and policy.
  • Issuing departmental communications where required.
  • Organise training and development events.
  • Prepare agendas and take notes at meetings.
  • Maintain action logs and chase up actions.
  • Design and develop HR communications and engagement
  • Promote the HR service through social media channels
  • Maintain databases of information


Coventry and Warwickshire Integrated Care Board (ICB) is responsible for commissioning NHS services on behalf of people in Coventry and Warwickshire.

In consultation with local partners, it plans the delivery of services in a way that both meets local health and care needs and reduces inequalities between different groups.

The purpose of our ICB is to bring partner organisations together to:
1. improve outcomes in population health and healthcare
2. tackle inequalities in outcomes, experience and access
3. enhance productivity and value for money
4. help the NHS support broader social and economic development.


As an Integrated Care System we have agreed a common vision as well as the principles of how partners will work together.

This is underpinned by the Health and Wellbeing Concordat for Coventry and Warwickshire.


This Concordat was agreed by our two Health and Wellbeing Boards and sets out our goal to enable people across Coventry and Warwickshire to pursue happy, healthy lives and put people and communities at the heart of everything we do.

Our vision is more than just an aspiration, it is the driver for real change across Coventry and Warwickshire.

Planning and Organising

  • Promote the image of the department, ensuring that notices, forms etc are up to date and well presented.
  • Responsible for organising meetings for the department and planning any administrative work as required.
  • Monitoring data input and printing reports from computerised systems as required.
  • Collation and preparation of relevant documentation in support of service delivery.
  • The post holder will adhere, at all times, to the service guidance, and work within established policies, procedures, protocols, and systems ensuring quality standards and performance as directed.
  • To ensure compliance with all statutory and mandatory training.
  • Filing and storing activities
  • Organise panels and hearings and associated paperwork and correspondence as required.
  • Organise meetings, take, transcribe and distribute minutes accordingly as required.
  • Maintain filing in both paper and electronic records, ensuring that it is kept up to date at all times. In accordance with ICB procedures, track and receive notes in a timely manner.
  • Maintain information and content on the Intranet / MS teams channels
Freedom to Act

  • Ensure that all complaints, comments, and suggestions are dealt with appropriately, in accordance with policy, resolving where possible and escalating to line manager when appropriate.
  • Able to work on own initiative and unsupervised, within defined policies and procedures to set timescales.
  • Have a flexible/adaptable approach to their work in order to meet various deadlines.
  • Information Resources
  • Post holder must have a standard level of keyboard skills and able to use Microsoft Office programmes.
  • Inputting into, monitoring and printing reports from computerised systems.
  • Supporting with data collection for example Freedom of Information requests, exit surveys etc.
HR Responsibilities

  • Demonstrate office systems and department requirements to new starters.
  • Provide basic HR advice to employees and line managers on pay, terms and conditions, and recruitment queries.
  • Undertake Research and Development on benchmark HR related statistics (eg absence. Turnover), research staff survey benchmark information.
