Administrative Assistant - Student Operations
Registry Operations is seeking to appoint an enthusiastic, self-motivated individual to join our Student Operations team.

  • The postholder will provide a customer focused administrative service within Registry Operations, engaging and completing a range of routine and more complex tasks to meet operational and customer requirements, ensuring the team is supported and key duties undertaken.
  • As part of this role the postholder will demonstrate a customer service approach, supporting colleagues in the University. Ensuring that a quality student experience is central to the role, whilst also demonstrating values and behaviours that reflect the culture of Registry Operations as a customer focused service department, working with internal and external customers to support the work of the team.

Salary:

£22,197 - £24,144 per annum, pro rata for part-time hours worked (Grade 3).-

Job Purpose

  • Demonstrate values and behaviours that reflect the culture of Registry as a customer focused service department, working with internal and external customers to support the work of the team

Responsibilities:

Key Duties

  • Deal with a range of enquiries from internal and external customers in a professional manner, establishing their requirements and adapting the standard responses accordingly
  • Collaborate with others in order to make recommendations for developments of established processes and procedures to improve the customer services
  • Research more complex cases and advise on the most appropriate response, seeking advice from senior colleagues as appropriate
  • Establish working relationships with key contacts to help improve service levels
  • Undertake a variety of administrative duties to support the team and department, including producing documentation, room bookings and servicing meetings
  • Gather student data to update administrative systems with accurate information, establishing basic trends and patterns and highlighting them to appropriate colleagues
  • Contribute to the success of the team, leading others through example
Specific Duties

  • Exams and Graduation: to support the operational processes including managing the allocation of invigilators, setting up specific provision arrangements for students, and allocation of tickets for graduation. There may be an element of manual handling with these duties
  • Assessment: to ensure Schools are supported during Exam Board periods, providing advice and guidance as required and inputting and checking results. To produce the interim transcript and ensure they are sent out to students in line with agreed timescales
  • Enrolment and SLC returns: to support the administrative processes updating the student record and inputting data to complete the returns. Attend enrolment events and take details from students, and undertake UKVI checks in line with the agreed protocols
  • Programme Information and

Statutory Returns:
to support colleagues in validating data, setting up and inputting programme information, checking data and updating records accordingly

General Duties

  • Ensure that an understanding of the importance of confidentiality is applied when undertaking all duties
  • Abide by University policies on Health and Safety and Equality and Diversity
