Role Purpose


Workington GP Practice have an exciting opportunity for an enthusiastic individual to join us as a Senior Administrator within the newly merged, 5 site practice.


Job Summary:

The post holder will work as a member of the Workington GP Practice.


We have an exciting opportunity for an enthusiastic and reliable Senior Administrator to join our dedicated and friendly medicines hub.

This is a key role assisting the Service Operational Lead to progress with further development and implementation of our Workington Medicines Hub

A commitment to providing high quality service and service development are integral to the role.


Main duties and responsibilities:


The Senior Administrator will:

  • Management of the day to day operations of the medicines hub site including duty rota, annual leave, sickness cover, etc.
  • Work with the medicines team to develop standardised systems and processes for the town
  • Oversee the introduction of a consistent, safe, effective, townwide repeat prescription service
  • Develop, analyse and monitor systems and procedures within the medicines hub
  • Communicate with Community Pharmacists
  • Liaise with practice clinicians
  • Support audits, quality improvement and identify variation
  • Benchmark prescribing trends
  • To monitor progress of achievements in quality indicators/targets/KPIs etc such as QOF, IIF, NCCIS
  • Be available as the day to day contact for staff
  • To support the Service Operational Manager on a specific lead area outlined above
  • To support the coordination and minuting of medicines team meetings to include preparing agendas, taking minutes and arranging diaries
  • Providing senior office administration support including preparing and maintaining office systems including asset, IT, project and HR documentation to support the efficient operations of the medicines hub team
  • Carry out additional operational support as deemed commensurate to the role
  • To oversee and provide support for the planning, development and implementation of designated projects, working with the necessary locality teams to follow up actions and maintain accurate records of the project overall
  • Working both with the medicines team and on your own initiative to manage the successful delivery of locality tasks from startfinish, including organisation of supporting materials, diary management, budget control, ontheday operational support and assisting with any other tasks as deemed necessary
  • Communicate effectively and sensitively with service users, colleagues and staff, respecting everyone's dignity and confidentiality
  • Engaging staff in all improvements and work streams/projects to support change
  • Supporting staff in learning and development of new systems/processes
  • To manage and plan own workload and work independently, exercising maximum autonomy and control whilst recognizing when it is appropriate to seek advice or assistance from a senior member of staff

This will include:

  • Using personal security systems within the workplace according to practice guidelines.
  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
  • Making effective use of training to update knowledge and skills
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
  • Actively reporting health and safety hazards and infection hazards immediately when recognised
  • Keeping own work areas and general patient areas generally clean, assisting in the maintenance of general standard
