Administrative Assistant
We are currently recruiting an Administrative Assistant for a reputable solicitor based in the Newport area.
The prime role of the Administrative Assistant is to provide support to both litigation departments to enable them to operate at optimum efficiency.
Role Responsibilities
- To assist all fee earners across both departments
- To undertake any specific training when required to do so and overall to have a responsibility towards selfdevelopment.
- To show enthusiasm and commitment to learn and if required attend internal/external training courses agreed by the firm.
- Open New Claims on Case Management System and create physical files including generating all paperwork/documents in the process of the same.
- Close claims on the case management system and undertake archiving process including generating all paperwork/documents in the process of the same.
- Photocopying and binding.
- Filing and management of papers files.
- Pay invoices, bank cheques as and when required.
- To make calls out chasing information/documentation for all parties.
- To receive incoming calls/enquiries addressing the enquiry if possible or directing the caller to the correct individual / taking a telephone message.
- Provide secretarial/typing support when required;
- To scan and distribute incoming post;
- To prepare outgoing going post (including boxing and instructing courier)
- Providing post room assistance where required;
- Assist with any other administrative duties when required
Essential
- Strong organisational skills
- Strong administrative skills
- Good numerical skills
- Strong communication skills, both in person and on the telephones
- The ability to work under pressure and meet deadlines
- The ability to work on your own initiative and make decisions
- The ability to prioritise effectively and react to a changing to do list
- The ability to work as part of a team
- Proficient in using a computer (especially Word, Excel and MS Office)
- Trustworthy and reliable;
- Maintain a smart appearance and dress code appropriate for the role

Monday to Friday, 8.30am-5pm
£21,500 per annum
