Swift Placements have a great opportunity for a Legal Admin Assistant to join their Defendant Department.

This is a wonderful opening for someone wanting to take their first step into the legal sector and start to build their career.


Job Purpose:


  • To work within the Defence team assisting and providing general support to the fee earners, who deal with all aspects of litigated and nonlitigated personal injury claims
  • To assist with matters such as (but not exclusively), preparing Trial bundles, preparing witness statements, obtaining and reviewing evidence (medical or otherwise) obtaining and collating medical records, instructing Counsel, preparing court proceedings and providing general help and assistance on litigated files as and when required

Key Duties & Responsibilities:


  • Proactively manage diaries
  • Generating standard system driven letters
  • Composing letters to clients/customers
  • Maintain proactive communication with clients and external agencies relating to claims
  • Observing and maintaining firm confidentiality in relation to all correspondence and communications
  • Taking responsibility for personal development and growth
  • Effective prioritisation of tasks whilst managing a full workload
  • Liaise and build relationships as appropriate with clients and their support staff
  • Book client and internal meetings
  • Prepare correspondence and documents from digital dictation
  • Answer and make telephone calls
  • Manage the case management system
  • Prepare document bundles
  • Open and close files
  • Set up new clients on the finance system
  • File, archive, photocopy, scan documents as and when required
  • Ensure that client contact information is kept up to date
  • Assist with the booking of travel arrangements
  • Liaise with Counsel and other legal representatives
  • Proactively assist with adhoc business development and communications activities e.g. client contact reports, delegate packs etc.
  • Maintain a level of individual knowledge required for the role
  • Assist with incoming billing, cash collection and accounts queries
  • Effectively work with fee earners and secretarial team members
  • Handle confidential information in line with the firm's data security protocols
  • Minute internal meetings

Experience & Knowledge:


  • Previous experience in a similar role
  • Good literacy and numeracy skills
  • Excellent attention to detail
  • A focused client service approach is essential, interacting with clients in a professional manner at all time.
  • Working knowledge of MS Word and Excel
  • Strong organisational and administrative skills
  • Strong communication skills both verbal and written
  • Ability to cope under pressure
  • Ability to work to deadlines
  • An ability to work using own initiative within boundaries, as well as in a team
  • Good attention to detail and an ability to work effectively with people across a wide range of levels and responsibilities.
  • Good organisation and time management skills
