Reports to:
Office Manager, School Business manager and Head teacher.


Main Purpose of the job:


  • To be an ambassador for the school when meeting parents and other visitors and to act as a first point of reference when people arrive.
  • To provide clerical and administrative support to the Head teacher, Deputy Head teachers, Office Manager and other staff.
  • Contribute to the overall ethos/work/aims of the school and meeting the needs of the children.
  • Be aware of and support difference and ensure equal opportunities for all.

Roles and Responsibilities

  • Answer the telephone (take messages where necessary), record pupils and visitors entering and departing school during the day. This may involve pupil collection/delivery to classrooms.
  • Ensure security procedures are adhered to. Ensure the presence of all school visitors (those who are not current members of staff, pupils registered at the school or governors of the school) are recorded and issued with badges. Inform the Office Manager immediately of any situation that might affect safety or security.
  • Comply with policies and procedures covering child protection, health, safety and security
  • Ensure the school office and reception area is welcoming, neat and tidy. Ensure all school files are kept updated, tidy and in good order.
  • Record children arriving late and take absence calls to be recorded in Integris.
  • Maintain notice boards, school calendar, room bookings, update timetables/rotas, sort and distribute mail.
  • Collate and record discretionary absence forms.
  • Organise school uniform for new parents and FSM parents.
  • Organise and distribute FSM food vouchers.
  • Liaise with Chartwells on any lunch information for the kitchen staff including organising packed lunches for trips.
  • Organise music lesson timetable, booking teachers, and ensure children are on time to lessons.
  • Help maintain apps used by children e.g. Bug Club, TT Rockstars, MyMaths.
  • Deal with any Wisepay related queries for trips, parent logins etc.
  • Maintain the staff bulletin and staffroom board.
  • Provide general confidential secretarial service to Office Manager and other staff, to include word processing, correspondence, reports, references, mail, diaries, appointments and meetings, maintain general and confidential filing systems, provide hospitality as required.

Such other duties appropriate to the scope and grading of the post as may be required from time to time.


Qualifications:

  • GCSE or equivalent English (Grade 4)
  • GCSE or equivalent Maths (Grade 4)
