Description of role and key responsibilities:

  • Diary Management for Head GLO & direct Team Leads, diary support is also
- provided to COO of Aviation. The incumbent needs to be able to manage diary
- time in a proactive manner by:

  • Interacting with various stakeholders and meeting requestors to get a clear understanding of what proposed meetings are intended to achieve

Organise and minute key regular meetings:

  • Monthly GLO Manco
  • GLO SA Operations Governance
  • Acuity Partners Governance (to be established)


  • GLO Quarterly Planning

  • Book meeting rooms and ensure facilities/resources are appropriate
  • Booking, coordinating, and minuting quarterly leadership learning sessions including Team Performance Cycle sessions
  • Ensure meetings are properly attended by all stakeholders or an appropriate representative
  • Produce detailed minutes of meetings with action points and responsibilities clearly assigned managed via FLUID
  • Follow up on all action points with relevant assignees, ensuring that updates are incorporated into meeting papers managed via FLUID
  • Timely collation and circulation of all relevant meeting papers.
  • Other primary responsibilities:
  • Ownership of GLO Monthly Dashboard. Ensuring collation and completion in a timely manner.
  • Manage all UK & Global travel and hotel accommodation with an eye on costs
  • Coordination and management of GLO team events
  • Management of a brief
  • Site visits to potential venues
  • Budget management and negotiation with venue and suppliers
  • All catering requirements
  • Organising activities
  • Coordination of invitation and audience coordination
  • Manage and file expense claims
  • Manage Aviation Reimbursable Expense Invoicing
  • Manage all Aviation travel/conferences/dinners
  • Development and maintenance of the GLO SharePoint sites
  • Coordination of GLO SA Compliance Training
  • Booking, coordinating, and minuting quarterly leadership learning sessions
  • Assist in the preparation of presentations. Ensure that all GLO presentation material conforms to Investec marketing standards and is of a professional standard in terms of look and feel. Ensure that content accuracy has been signed off as appropriate
  • Managing course and exam bookings for teams supported.
  • Manage the New Joiner Process including Apprentice & Intern Rotations for teams supported. Creation of packs, booking of meetings as applicable.
  • Manage all User Access Rights on behalf of Head of GLO and Team Leads
  • SailPoint
  • Manage all holiday bookings within teams supported
  • Manage procedures and Policy filings
  • Point of contact for UK & SA GLO Members
  • Developing and managing relationships with Key Training Vendors.
  • Distribute the post and ensure that time critical mail is handled with appropriate speed and priority
  • Organise lunches, dinners and events for the team and clients
  • Keep close contact with the peers in other areas of the bank and be able to secure meetings with other execs.

  • Proficient in the use of Word, PowerPoint, and Excel
  • Excellent written and verbal communication
  • Strong negotiation skills and can manage to a budget
