Role Purpose


As a skilled and experienced Facilities Coordinator, you will support our Senior Facilities Manager in the management and oversight of all aspects of our organization's hard services operations, across our European & APAC Real Estate Portfolio.


The role will be responsible for ensuring the smooth functioning of various physical infrastructure elements, including building systems/security, project management, construction management, space planning, property management including operating expenses and utilities.

This position requires a strong understanding of facilities management, technical expertise, and exceptional leadership skills to effectively coordinate and execute hard services operations.

Additional responsibilities around health & safety and liaising with IT as required.

Key Accountabilities

Coordinate with Property Management and external contractors to:

  • Implement strategies, policies, and procedures for the efficient and effective management of Facilities Services including HVAC, Electrical Systems, Plumbing, Security Systems, Fire Protection, and other critical infrastructure components.
  • Ensure compliance with local building regulations and Health & Safety standards. Update and maintain local policy documents. Conduct inspections and risk assessments, to identity any potential hazards/issues.
  • Supervise maintenance and repair activities, ensuring timely response to service requests, preventive maintenance schedules and corrective actions.

Vendor Management:
Evaluate, select, and manage relationship with vendors and service providers. Collaborate with vendors to ensure high-quality services, service level agreements (SLA's) and cost-effectiveness. Manage the Annual Operating Expense Budget, track expenditures, and implement cost-saving initiatives without compromising quality or safety standards.

Oversee and coordinate Project Management (PM) such as equipment installations, renovations, Real Estate (new buildouts or relocation), furniture reconfigurations and other infrastructure upgrades.

Collaborate with cross-functional teams, contractors, and other stakeholders to ensure timely and successful project completion within budget and scope.

Generate Reports analysing data and other key performance indicators (KPIs) regarding Real Estate Metrics, attendance, cost-savings, and insurance renewals to optimize operational efficiency.

Work along-side Senior Facilities Manager to provide strong leadership to the Corporate Services team including training and performance management. Create a positive work environment that promotes collaboration, continuous learning, and professional growth.


Professional Experience- A trade background or strong prior experience in facilities management, engineering, or equivalent work experience in a related field.- Proven track record in construction and office maintenance from either customer or supply side.

Prior experience in facilities management, specifically in overseeing hard services operations.- Ability to multi-task including day-to-day function and management of property managers and building engineers.- Excellent Project Management skills with ability to handle multiple projects simultaneously.- Strong attention to detail, plus analytical and problem-solving skills.- Excellent communication and interpersonal skills.- Effective leadership and team management skills.- Proficient in Microsoft Suite (Office, Excel & PowerPoint).- Proficient in Auto-CAD would be preferential.- In-depth knowledge of building safety regulations and security protocols.
