It's a great time to join us as we continue to build on our success through 2023 and beyond and we have created a great new role for an Administration Supervisor to join our Customer Operations team.


About the role


Within this role you will work with other internal teams and stakeholders, ensuring we maintain compliance across our developments within the relevant legislation, as well as providing the property management team with a wide range of administration and practical tasks.

This is a varied role with key responsibilities which include:

  • Being the main point of contact for the Customer Operations team with regards to all administrative activities
  • Overseeing a small team (currently one other) to manage the administrative workload whilst ensuring the highest standards of both internal and external customer service are provided
  • Maintaining and managing the database of planned, statutory and reactive issues, adding and updating records including service events, service agreements and issues including those arising from risk assessments, inspections and audits.
  • Managing property, legal and compliance documentation
  • Liaising with contractors and suppliers about works, quotations, invoices, queries and documentation including ordering equipment needed by the team or customers
  • Raising and issuing Purchase/Works Orders and liaising with other team members to assist in completion and cost recharges
  • Conducting occasional site visits and providing concierge cover when necessary
  • Ensuring that activities are completed to a high standard in compliance with procedures, timescales and budget delivering an excellent customer experience and property management service

About you
You will be an experienced Administrator with experience of managing a small team.

Ideally you'll have previous experience of working with property management with experience of CRM and accounting systems such as Fixflo, Qube and Salesforce, however this isn't essential and we are happy to consider applicants who have a proven ability to quickly learn new systems.

You will be highly organised with an excellent eye for detail.

Skills & knowledge

  • Excellent spoken and written English
  • Selfconfident with strong communication skills written and verbal
  • Excellent time management, prioritisation and proven ability to meet deadlines
  • Strong IT skills and competent with Google tools such as Gmail, Google Docs, Sheets and the internet.
  • Skilled in preparation of presentations
  • Previous office experience in a comparable role, preferred

Qualifications:


  • GCSE Maths & English or equivalent
  • Full UK driver's licence or ability to travel across the operational area for site visits and meetings

Our benefits & rewards
This is a full time, permanent role working 37.5 hours a week between 09:00 - 17:30 Monday to Friday.

We offer hybrid working and this role will be based 3 days per week from our Winchester office (free parking) with the remaining 2 days working remotely from home.

This role offers a basic salary of £30,000 - £35,000 per annum (depending on experience) plus an annual bonus of up to 10% per annum, we also offer an enhanced benefits package including:
