We are looking for an Accounts Payable Assistant to work closely with our AP Supervisor supporting the daily running of the busy accounts payable function, to enable improvements to be made and to help support further business growth.

Assisting the AP Supervisor with initial admin and taking ownership of the base level entry for all supplier invoicing.


If you are interested in working in finance, you have experience multi-tasking or managing a team inbox or you have some experience as an Accounts Payable Assistant or similar role we would be excited to hear from you.

This is an entry level role so we will be happy to consider someone starting out on their finance career.

You must have good knowledge of Excel, great attention to detail and strong organisational skills.

This is a varied role in finance with many facets, it can lead to training and progression to a career in finance.

Working as part of the finance team in a flexible hybrid role you will be working from home and in our inclusive and friendly office in Brixton with great transport links.

Main Activities

Invoicing and Payments:


  • Obtaining authorisation of overhead invoices & entering invoices into Quickbooks daily
  • Include invoices due into the weekly payment run
  • Contacting suppliers to processing payments via Credit Card
  • Posting invoice data for payments made to suppliers via credit card weekly
  • Contacting suppliers to verbally confirm banking details for payments

Supplier Reconciliation:


  • Monitoring & investigating supplier accounts on our internal reconciliation software where we pay suppliers upfront to ensure that we are receiving any credits due back promptly.
  • Raising billing discrepancies with suppliers & internal teams
  • Resolving queries arising from data analysis
  • Reconciling supplier statements
  • Responding to billing enquiries from other departments
  • Responding to and resolving queries from suppliers
  • Sending remittance advices

Adhoc:


  • Post all sales and bank receipting to Quickbooks weekly
  • Assist the AP Supervisor with month end process as needed
  • Help cover All AP functions when others are on leave or if there is an overflow workload

Experience and Skills

  • Computer literate
  • Outlook, Word, Excel, Gmail, Adobe
  • Effective communicator and strong team player
  • Positive attitude, flexible, helpful and enthusiastic
  • Organised and demonstrable time management skills
  • Excellent attention to detail
  • Able to identify and resolve problems in a timely manner
  • Adaptable to changes in the working environment, altering approach to suit the situation and embracing change
