The Role


The role of the Chair and Chief Executive's Office is to balance the requirements of each of our divisions and set with the Board and Executive Committee (ExCo), the CAA's long-term strategy.

It is the nerve centre through which, most of our strategic decision making is discussed, considered, and decided upon.

The discussions and activities raised by this area can go on to affect the entirety of the UK aviation industry as well as every CAA colleague.


To provide an effective and efficient PA and Project support service to the Chair and CEO's Office, you will work most closely with that team and their support network, as well as the Non-Executive Directors (NEDs), to ensure resource is utilised to maximum efficiency.


Your principal responsibility will be to ensure that all administrative duties are conducted in a timely, professional, private, and confidential manner.

Attention to detail is key.

You may be asked to attend Chair and CEO Office and NED chaired meetings to ensure that vital information and knowledge is captured, retained, and implemented.


This role will provide an excellent understanding of how the UK CAA operates and the breadth of activity it is engaged with.


Core Accountabilities

  • Provide diary management and other administrative support to the Chair and CEOs Office and the NEDs
  • Manage a system to alert the supported NEDs to imminent matters requiring attention and create time in the diary for preparatory work if necessary.
  • Coordination and support of the NEDs travel arrangements and office efficiently when they are away
  • Control, track and record incoming correspondence
  • As well as orchestrating meetings and events, with both internal and external stakeholders, provide actual meeting support both pre, during and post event

To include:

  • Logistics travel, catering and venue booking etc
  • Collating, and circulating papers, preparing, and circulating action/decision logs, etc. for various meetings including the Executive Committee and Board Meetings
  • Provide business support, as required, on special projects and in support of the Chair and CEOs Office
  • Provide support to the Chair and CEOs Office in the collation and delivery of data and information as required

About You


You will need previous experience working in a similar role, ideally having supported at least at a very senior / director level.

It is key that you can work in a busy environment with frequently changing diaries and can pre-empt situations to take the best course of action without losing attention to detail.


Acting with tact and diplomacy will be critical in this role, to provide confidential support and deal with matters of high confidentiality.

You will take part in PA network meetings where you will be able to share ideas and identify solutions.


Essential

  • This is a Senior PA role within the CAA and errors, omissions or oversights have the potential to cause significant embarrassment. We therefore require a strong administrative background and for the post holder to be methodical and organised with an eye for detail
  • Education to GCSE or higher standard in English and Maths
  • Experience of using MS Office (particularly Outlook, Word and Excel) to a high proficiency level
  • Working in such a highprofile role, a pleasant, courteous manner is essential
  • The ability to make sensible and logical decisions and judgements on priorities
  • Proven time management skills, including an ability to effectively prioritise in a busy environment to meet changing business needs
  • Able to encourage confidence act in a credible, reliable, and confidential manner

Desirable

  • A consistent track record of delivering improvements that have tangible impacts
  • Prior experience working on projects, perhaps in a capacity of project coordinator
  • An interest in and/or experience of working in an aviation environment
