    Job Summary

    You will work as part of a clerical team supporting a team of Clinicians and providing comprehensive, confidential administrative support to Consultants, Medical Staff, Clinical team, and department on a day-to-day basis. With exceptional attention to detail and super typing skills, you will handle turnover letters within specified deadlines.

    Main Duties of the Job

    • Ensure prompt typing and dispatch of all correspondence for the Clinical Team, including clinical letters, discharge summaries, medico-legal reports, and meeting minutes.
    • Answer telephone calls from patients.
    • Handle audio/digital dictation for most correspondence as per Trust targets.
    • Provide cover within the administration team during absences and adhere to organizational policies.

    Job Description

    Job Responsibilities

    • Provide secretarial support to the Clinical Team for efficient patient care.
    • Follow directives from the Administration Manager and Medical Secretary Team.
    • Ensure timely typing and dispatch of clinical correspondence.
    • Respond to patient phone calls.
    • Attend meetings as needed and maintain confidentiality in all communications.
    • Use Trust databases accurately, provide administrative support, and liaise with healthcare agencies.
    • Cover for the administration team during absences following organizational policies.

    Person Specification

    Educations, Training, and Qualifications

    Essential

    • Educated to a minimum of 3 GCSEs at Grade C or above.
    • RSA 3, Certificate in Medical Secretarial Studies, or relevant experience.

    Desirable

    • Experience with Patient Administration System Camis or equivalent.
    • Typing qualification.

    Knowledge and Experience

    Essential

    • Significant office work experience.
    • Some NHS or healthcare administration experience.
    • Knowledge of administrative procedures and typing practices.

    Desirable

    • Experience managing patient waiting lists.
    • Skills

      • Strong communication skills.
      • Good organizational and time management abilities.
      • Excellent written and verbal communication.
      • Aptitude for Audio-typing.
      • Proficient IT and keyboard skills.
