Petroineos Refining and Trading is one of the largest independent refiners trading in Europe.

We are looking for a Planner to join our Offsites Team on a full-time Temporary basis; the role will be based at our Grangemouth site in the Central Belt of Scotland.


Purpose of the role:


The FM Planner is responsible for the planning and execution of Facilities Management activities within Grangemouth Refinery and Finnart Ocean Terminal, ensuring works are completed in the appropriate timeframe to minimize risk to the business.

Responsible for delivering direction, manage, guide, coach and provide technical support to FM technicians, and drive performance excellence.

The post holder is required to maintain the data held within the CMMS system ensuring all information held is complete and accurate.


Key Accountabilities:


  • Carry out the technical appraisal of new and emergent FM Work Orders & Service Requests to confirm suitable, safe and cost effective remediation scope. Challenge and reject where required
  • Responsible for swift and appropriate remediation of all Rime 1 and 2 work scopes within the expected timeframe, communicating with key stakeholders especially on high priority work fronts
  • Responsible for the planning and execution of FM planned and emergent works as well as small scale upgrade projects, to eliminate long term defects and make improvements to Refinery infrastructure
  • Ensure compliance with statutory inspections requirements e.g. relief valves
  • Carry out suitable and sufficient risk assessments for all FM maintenance activities (which may include TBRA). Assess, challenge and verify all contractor RAMS, method statements, plans, road closure proposals and other key contractor site documentation to ensure they comply with the required site standard and expectation
  • Produce works packs and route where required. Collate QA documentation and certification.
  • Build permits to final stage lock for all FM engineering activities and nonterm contractors. Ensure all new third party permit builders are verified and working to the correct standard
  • Be fully conversant with the Maximo Maintenance workflows. Monitor and control work requests, stores requisitions, equipment history, spares holding, failure reporting in order to facilitate the safe, smooth operation of the maintenance and planning systems
  • Supply feedback on performance of specialist FM related contracts to ensure service provision and conditions of any agreements are met in terms of safety, cost and quality. Raise timely delay and defect notifications as required
  • Accountable for effective communication and positive interface between the Asset, Project, Stores & Contractor teams to ensure rapid resolution of issues, timely progress and efficient use of resource on site. This includes timely availability of permits, participation in daily area coordination meetings, site meetings and toolbox talks
  • Create and improve Preventive Maintenance schedules for all equipment managed by the FM team to ensure that these are reliable, fault free and available for continued safe operation (This includes Air Conditioning, Fire and Gas Systems, CCTV, hot and cold water systems, roads, buildings, lighting, fixed wiring)
  • Organize and manage a local store of essential consumable electrical and mechanical parts to ensure emergency repair to critical systems is possible and other investigate and repair work is completed efficiently
  • To assess routine material, spares and service requirements and to raise purchase requisitions, directly consulting catalogues, manufacturers, suppliers and Petroineos purchasing staff as required.
  • Create and/or update Maintenance documentation where they are missing, where there are mistakes or there are omissions identified. A nonexhaustive list of examples of documentation may include PM Procedures, Method Statements and Job Step PlansEnsure Job Reporting is completed and recorded
  • Take responsibility for own personal development including actively driving selfcompetence and training whilst also fully engaging in the annual appraisal process including the delivery of personal objectives
  • Complete KPI reporting as required to help drive improvements within the department.
  • Conduct weekly group meetings and participate in ASAs, permit audits, housekeeping tours, accident investigations, task analysis, COSHH, safety reviews, as well as monitoring safe systems of work
  • Implement and comply with site standards including Control of Work (GMP 07), Safe Isolation, assigned Tractions, risk assessments and all other site procedures. Comply with HSE Regulatory Standards including HSAWA, Electricity at Work, LOLER, PUWER, COSHH, CDM and Manual Handling
