_SEMICONDUCTOR & ASSEMBLY SOLUTIONS (SAS)_

Job Purpose:


The role of Business Administrator at the Ashby site is an interesting and varied role which sees the postholder operating at the heart of the business.

The Business Administrator will work across a broad range of tasks, contributing to and supporting the delivery of a high-quality customer focused business support service.


Responsibilities:


  • Key contact for incoming calls and visitors to site; process internal and external daily mail.
  • Coordination of travel/accommodation arrangements, site carparking plan and preparation for meetings.
  • Respond to enquiries, both orally and in writing on behalf of the service, where appropriate. Carry out research and refer more complex enquiries to an appropriate manager with background briefing.
  • Maintain accurate and up to date manual and electronic storage and information systems, collating input and output data and providing accurate and timely reports and statistics for both departments and site wide activities and KPIs.
  • Assistance for the site management team in organising and documenting critical meetings, including raising and following up on actions with individuals and providing meeting minutes for critical management meetings.
  • Remaining flexible and learning new operating systems on site, including running and exporting reports from the site ERP system and manipulating information in Excel to provide reports ensuring continuity of information across the site.
  • Assist with other high level administration tasks, such as the input and criteria marking for production paperwork into the QA database and provide feedback to the QA team on issues found.
  • Support department heads and operators to copy existing systems/processes within Microsoft Teams workflows (Power Automate) and adjust basic flows for new procedures. Where possible, write new workflows within Power Automate.
  • Update site noticeboards with KPIs and provided information from the management team. Keep the site Teams room up to date.
  • Maintain the Company's Time & Attendance (T&A) System. Input training, annual leave, authorised absences and sickness; create and manage changes to working patterns; setup ID badges and respond to line managers T&A queries. Produce reports and statistics, such as absence monitoring and KPIs.
  • Collate monthly shift allowance and overtime records, reviewing these alongside the T&A system, and processing information for approval in line with payroll deadlines and updating site KPIs.
  • Undertake the role of Fire Marshal.

Requirements & Qualifications:


  • Previous experience of working in an administrative role.
  • GSCE Maths and English at Grade C or equivalent, or previous experience to demonstrate competence.
  • Prior experience of computerised time and attendance system would be desirable.

Skills:


  • Exceptional attention to detail.
  • Strong computer skills, with accomplished proficiency in Microsoft Office and the confidence to learn the use of new management information systems, such as T&A and ERP.
  • Ability and willingness to learn new processes, computer skills and promote efficiency improvement across administration related tasks.

Competencies:


  • Ability to work on own initiative as well as part of a team.
