Description

Our client is looking for a skilled Finance Assistant, to record all financial transactions, for a small, well established visual arts charity specialising in photography, with a busy exhibitions, artist commission, events and learning programme as wellas a unique photography collection.


You will be working closely with the Head of Finance to assist colleagues in their busy arts programming team and our building operations team to deliver their projects, support their sales activity and ensure our award winning building runs efficiently.


This role could suit someone looking to return to work - perhaps with children now of school age, or someone with other caring responsibilities - as we can offer remote working and flexibly structured hours to support a healthy work life balance.


Responsibilities

  • Enter sales invoices and purchase invoices, receipts and payments according to agreed timetable into Quickbooks, maintain an up to date Sales Ledger, Purchase Ledger and Nominal Ledger.
  • Issue invoices promptly to customers.
  • Ensure that debts are collected promptly and follow up non payment according to credit control process.
  • Review payment requests for approval and action. Pay supplier invoices in a timely manner.
  • Respond to customer and supplier queries. Produce financial reports as required.
  • Prepare and process the monthly payroll, including filing HMRC submissions.
  • Record cash receipts and make bank deposits on a regular basis.
  • Conduct a weekly reconciliation of every bank account and credit card.
  • Reconcile intercompany accounts.
  • Manage and reconcile all control accounts and report discrepancies. Update various financial spreadsheets such as fixed assets.
  • Complete VAT returns and submit returns to HMRC within deadline.
  • Update and post month end journals for accruals, prepayments, deferred income etc.
  • Maintain an orderly and accessible accounting filing system.
  • Assemble information for external auditors for the annual audit.
  • Undertake any other task as reasonably requested by management.
  • Provide clerical and administrative support to the Head of Finance.

_Person Specification _

Experience and skills required

  • Substantial and proven financial experience in an equivalent small
- scale setting ideally in the arts or wider charity sector.

  • Strong knowledge of bookkeeping and accounting principles.
  • Practical experience of charity finance models and accounting standards.
  • High degree of accuracy and attention to detail.
  • Ability to manage time proficiently and prioritise and organise tasks.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to communicate effectively verbally and in writing.
  • Commitment to and respect for equal and inclusive approaches to team working.
  • Minimum intermediate standard in Microsoft Office, especially Excel.
  • Experience of using Quickbooks.
  • Ideally qualified or close to completing AAT Bookkeeping qualification AATQB, or equivalent accreditation.
  • Ability to demonstrate integrity and confidentiality.
  • An understanding of data privacy standards.
  • An understanding of and commitment to the company ethos.
  • An interest in photography would be beneficial.

Hours: 21 hours per week

Salary £18-£20/hr
