Hanham Health in Bristol is seeking to recruit a Clinical Services Assistant to provide a high-quality service to the clinical staff and Central Management Team.
Working a minimum of 32 hours per week over 5 days based at Hanham Surgery. Starting salary from £12.00 per hour (Final salary is dependant on experience). 26 days annual holiday entitlement and NHS pension.


The role includes access to highly sensitive information and the post holder should, therefore, ensure that they conduct their work with the strictest confidence and comply with information governance, data protection and record keeping policies at all times.

Previous experience of a GP Practice would be beneficial, but it is not essential as full training will be offered


Main duties & responsibilities of the post

  • The role of Clinical Services Assistant is to provide a highquality service to the clinical staff and Central Management Team._
  • Associated communication with the clinical, operational teams for both internal and external services.
  • Appointment template administration, management, and configuration within the clinical system.
  • Provide analysis of Clinical and appointment data with accurate record keeping.
  • Supporting the operational teams in managing unforeseen absence.
  • Assist in the management, record keeping and coordination of Extended Access rotas.
  • New clinician induction plans.
  • Act as a point of contact and coordination for GP trainees and other student/trainee matters, including inductions, tutorials, study, and annual leave.
  • Support the recruitment and induction of clinical staff. New starter system set.
  • Providing IT support alongside Practice Line Managers.
  • Maintain records for clinical staff, including absence, training, and appraisal.
  • Support of management tasks/projects.
  • Coordination of specific clinical services and related logistics, including Coil, Minor Operation and Mother and Baby Check Clinics. Liaising with the nursing team as appropriate.
  • Attendance of meetings.
  • Support of general management tasks and projects as required by the Clinical Services Manager.
  • Flexibility to provide support across departments during periods of annual leave and absence to maintain the essential services of the Practice.
  • Such other duties deemed as appropriate to the needs of the Clinicians and Central Management team as agreed between the post holder and the Clinical Services Manager.
  • Perform clerical and administrative tasks to support the clinical team
  • Schedule appointments and maintain calendars for healthcare professionals
  • Assist with patient registration and checkin process
  • Answer phone calls and respond to inquiries in a professional and courteous manner
  • Maintain patient records and ensure accuracy of information
  • Coordinate referrals and followup appointments for patients
  • Handle billing and insurance claims using QuickBooks or similar software
  • Perform data entry and maintain electronic and paper filing systems
  • Assist with inventory management of medical supplies and equipment

  • Excellent interpersonal and communication skills with the ability to liaise professionally over the telephone and face to face with a variety of staff e.g., GPs, nurses, nonclinical staff, senior external professionals, and patients.
  • Flexibility and adaptability to work across all Practice departments.
  • Willingness to undertake further training and development.
Desirable Skills

  • Experience producing and manipulating commonly used data analysis tools and technologies would be desirable.
  • Competent to learn relevant Clinical IT Systems. Experience working with Emis and other IT packages would be an advantage.
