We are currently seeking a dedicated Customer Service Administrator to join our team.
In this role, you will work closely with the Team Leader to ensure the smooth day-to-day operations of our service yard.
Your primary responsibility will be to maintain the highest level of service for FM Helpdesk/WSC Deliveries operations, in line with the terms of our contract.
As the first point of contact for contractor and courier queries, you will play a crucial role in addressing their needs and providing timely assistance.
Collaboration and teamwork will be essential in this role, as you will be supporting the team and working alongside the Team Leader.

Key Responsibilities
- To assist with the smooth running of the Logistics office on a daytoday basis to ensure that all daily operational and business requirements are met
- To maintain health and safety that is compliant with Client and ISS requirements. Support the site Emergency Response procedures and compliancy to Service Yard rules
- To manage & monitor the Delivery Management System (DMS) the online bookingin website including contractor access requests
- To manage the helpdesk operations to ensure inbox and incoming calls are maintained to standards including organising incoming reports into relevant folders
- To log reported reactive jobs on to Westfield's FSI Concept CAFM system
- To liaise with customers on all aspects of the business; to ensure customer satisfaction and a high quality of service and compliance are maintained at all times
- To provide information and assistance to retailers, suppliers and couriers regarding the delivery & contractor access process
Professional and Personal Competencies/Qualifications
- Analytical skills covering written, graphic, numeric and statistical information and involving risk assessment
- Knowledge of risk management within a medium to large organisation
- Good verbal and written communication skills are required; proactive communication skills are a requisite in establishing and maintaining customer confidence
- Good problem solving skills with a good level of attention to detail
- Good understanding of general H&S in the workplace
- Ability to work as part of a team or independently
- Ability to work under pressure, use own initiative and meet deadlines
- Proficiency in establishing and building client relationships to meet the departmental goals of the organisation
- Proficiency with the Microsoft Office Suite, FSI Concept or similar software
