A position has become available for a Receptionist/Telephonist who will also provide support to other areas of the business.ROLE SUMMARY:
The Receptionist/Telephonist is responsible for our Reception area on 1st floor and work as a team with the Senior Receptionist on 12th floor.
You will be expected to provide a professional and friendly environment, whilst ensuring all visitors and incoming callers are promptly assisted and made to feel welcome.
In addition, this role will also provide assistance with ad hoc administrative tasks.
PRINCIPAL RESPONSIBILITIES:
Guest Relations
- Signing in and out of visitor book and issuing visitor passes
- Ensuring clients and prospective clients are handled appropriately
Switchboard
- Answering incoming calls in a professional and friendly manner
- Forwarding of calls to appropriate personnel
- Taking accurate and clear messages
- Logging in and out of system correctly
Assisting other departments
- Typing, internet research, postage, laminating, ad hoc requests
Other responsibilities
- Ordering couriers national and international
- Assisting with ad hoc requests
SKILLS, KNOWLEDGE AND EXPERIENCE:
- Prior Reception experience in a corporate environment
- Excellent communication skills (Verbal and Written)
- Good organisation skills
- Working knowledge of Microsoft office (Word, Excel, Outlook, etc)
- Able to work alone and well as part of a team
OFFICE LOCATION & TRAVEL LOCATIONS:
This role will be based out of R&M's head office which is based in London.
The core hours will be 37.5 hours a week between the hours of 08:00 - 18:30, however depending on business needs you'll need a flexible approach to working extra hours when the need arises to meet the needs of our global business.
INTERNAL RESPONSIBILITIES:
Responsible for assisting with compliance to Reed & Mackay's certification programmes and policies.
